In 2016, IRC Germany was founded and is involved in the areas of education, economic wellbeing, and safety, legal protection, and empowerment throughout Germany.
The purpose of this role is to support the day-to-day updating and work related to inventory & facility tasks and reports to the senior Facility & Asset Officer.
Major Responsibilities
- Update the asset tracking system (INTEGRA) and related trackers on a daily basis.
- Conduct cycle counts every three months to ensure accurate asset management.
- Issue and retrieve equipment to/from staff as needed.
- Assist with the donation and disposal of equipment following organizational procedures.
- Manage desk bookings using the Visual Directory system.
- Support the maintenance of the office, ensuring the stationery room is well stocked.
- Coordinate with the procurement team for the purchase of office supplies.
- Support onboarding and offboarding processes for staff in e.g. managing the distribution of office keys to staff and providing inductions on office security procedures.
- Assist with sending and receiving packages, mail, and general correspondence.
- Induct new staff and volunteers in office procedures, supply chain processes, fire safety, and health and safety policies.
- Plan and organize meetings, events, and workshops, including catering and logistical arrangements.
Your Profile
- Personal or professional experience in supply chain and/or logistics (a degree is not required).
- At least one year of work experience in office management, logistics, or a related field.
- Proficiency in Microsoft Office (365) applications, including Outlook, Excel, Word, and PowerPoint.
- Familiarity with office equipment such as fax machines, photocopiers, and other standard office devices.
- Excellent verbal communication and interpersonal skills, with a strong emphasis on customer care.
- Ability to work independently, take initiative when necessary, and collaborate effectively as part of a team.
- Experience working within an international or multicultural team is highly desirable.
- Demonstrated experience in both front-office and back-office roles.
- Proficiency in German and English language skills at [B2] according to the Common European Framework of Reference for Languages (CERF)
