Job Overview/Summary:

The IP admin officer plays a crucial role in supporting the effective and efficient operation of the three sectors within the integrated protection department. The role involves supporting the admin tasks for the teams in Northeast Syria; this role involves a combination of administrative, communication, and organizational tasks to ensure the smooth functioning of programs within the department.

This position will be reporting directly to the Senior PRoL Manager and will work closely with teams within the IP program, as well as coordinating closely with other operations teams (supply chain, finance, HR).

Responsibilities:

  • With the support of the IP coordinator and the senior managers, maintaining and updating the item forecasts and procurement plans for the three sectors (WPE, CP, and PRoL).
  • Coordinate the procurement of supplies, equipment, and materials for departmental activities.
  • Maintain program-related documents, including project plans, reports, and communication materials.
  • Coordinate logistics for workshops, events, and training sessions, including venue booking, participant registration, and materials preparation.
  • Assist in maintaining grant-related records, financial reports, and compliance documentation.
  • Ensure efficient utilization of resources and adherence to budgetary guidelines.
  • Assist in recruitment processes, including posting job openings, scheduling interviews, and coordinating onboarding activities.
  • Assist in budget tracking and expense management.
  • Process invoices, purchase orders, and reimbursement requests
  • Work closely with the finance department to ensure accurate financial records.
  • Manage office supplies, equipment, and facilities to ensure availability and functionality.
  • Assist in scheduling appointments, travel arrangements, and itineraries for staff to handle routine administrative tasks such as data entry, filing, and photocopying.

Required Experience/qualification/Skills:

  • University degree (Economic, Business administration, Secretary or related field).
  • Approximately 2-4 years of previous work experience in office management or administration, preferably with a humanitarian organization.
  • Ability to organize and manage data; and always adhering to confidentiality and respect for clients at all times is essential.
  • Experience in report writing.
  • Good interpersonal skills and ability to work as part of a team, as well as independently.
  • Flexible and able to work in a dynamic and diverse environment. Previous experience in an emergency or conflict-afflicted setting is required.

Language/Travel:

Excellent written and verbal in English and Arabic

Travel: 20-30% to field sites in NES including workshops and meetings.
