Overview of position

Role objectives
  • Arrange, attend, and document meetings with the senior management team to ensure effective communication and decision-making processes
  • Maintain organised records of meetings, action points, and progress reports to ensure transparency and accountability. 
  • Assist in the preparation of reports, presentations, and other documentation as required by the Business Director or other stakeholders. 
  • Participate in special projects and initiatives as directed by the TBD.
  • Travel occasionally as required to support business functions and attend relevant meetings or events. 
Project reporting
  • Maintain a business development CRM pipeline 
  • Ensure that all Hart business portal registrations remain to date. 
  • Monitor and manage workflow to ensure internal and external deadlines are met.
  • Support the coordination of projects and initiatives that require cross-departmental collaboration 
Key competencies
  • Proven experience in an administrative support or business support role, preferably within a corporate environment.  
  • Strong organisational skills with the ability to effectively manage multiple priorities and deadlines.  
  • Excellent written and verbal communication skills to convey information clearly and professionally.  
  • Proficiency in using office software applications (e.g., MS Office Suite, project management tools including Monday.com) to enhance efficiency.  
  • Strong interpersonal skills to facilitate collaboration across different teams and departments.  
  • Ability to work independently while also being a supportive team player. 
  • High level of attention to detail and accuracy in all tasks.  
  • Familiarity with business operations, compliance, and project management principles is advantageous.  
Team management
  • Collaborate with various departments, including business development, technical bid development, HR, legal, procurement, compliance, financial, and operations, to support overall business objectives. 
  • Clearly communicate action points from meetings to relevant stakeholders and ensure timely follow-ups are completed. 
Further information
  • Bachelor’s degree in business administration, Business Management, or a related field.
