Duties and Responsibilities
-Background: The Human Resources Operational Services Division (HROSD) of the Human Resources Department (HRD) is responsible for the recruitment and management of all International Staff agency-wide, Area Staff (in headquarters locations), and Complementary Personnel (consultants, Junior Professional Officers, UN Volunteers, interns, etc.). HROSD also manages key HR systems, such as performance management, SAP, daily paid staff, leave, and payroll across the organization. Additionally, HROSD provides guidance, coordination, and oversight of Area Personnel and International Personnel management, including on staff benefits and entitlements. To enhance internal and external communication with clients and the broader organization, HROSD is seeking a dedicated intern to support its initiatives by creating user-friendly, accessible materials and tools. These efforts aim to improve stakeholders' understanding of HROSD services, business processes, and ongoing service improvement initiatives. -Main Responsibilities: Under the overall guidance of the Chief of the HR Operational Services Division, and the direct supervision of the Human Resources Officer (Recruitment) and the Human Resources Operations Manager, as applicable, the intern will support with: 1. Communication Materials Development: o Assist in creating and refining communication materials related to HROSD services, including recruitment, internal personnel, area personnel, complementary personnel, and entitlements. o Develop user-friendly presentations and other materials for internal and external stakeholders. 2. Intranet Content Development and Management: o Assist in maintaining and updating the relevant HROSD pages on the HRD intranet site, which is currently being revamped. o Ensure that all content is clear, accessible, and visually engaging for diverse users. 3. Client Engagement Support: o Support in organizing and facilitating communication initiatives to help clients better understand HROSD’s business processes and service catalogues. o Assist in creating communication approaches to enhance client relations and satisfaction. 4. Stakeholder Collaboration: o Support the coordination work with departmental focal points to identify and address HR communication gaps and needs. o Provide support for the creation of HR relations communication materials tailored to departmental requirements. 5. Other Communication-Related Duties: o Support the planning and execution of workshops, briefings, and other activities that promote HROSD services and updates as needed. o Perform other communication-related tasks as required to advance the division’s objectives -Learning Opportunities: Regular progress reviews will ensure the intern receives guidance and feedback on their work: • Build an understanding of HR operational services and their role in supporting strategic organizational goals. • Collaborate with HR professionals and gain exposure to diverse HR functions and systems. • Gain hands-on experience in HR communications within a large, complex organization. • Develop skills in creating strategic communication materials and managing intranet content.
Qualifications/special skills
-Education: Applicants must be students enrolled in or have recently completed (i.e. commence internship within one year of graduation date), either a graduate school programme (i.e. second university degree or equivalent degree, or higher) or the final academic year of a first university degree programme (minimum bachelor's level or equivalent), in Communications, Human Resources, Business Administration, Public Relations, or a related field. -Skills and Competencies: • Strong writing, editing, and communication skills. • Proficiency in MS Office Suite (Word, PowerPoint, Excel). • Creativity and the ability to create visually appealing materials. • Familiarity with content management systems is an asset. • Ability to work collaboratively in a multicultural environment.
Languages
Proficiency in English is required. Knowledge of additional UN languages is an asset.
