Salary: Starting from AED 22,456.81 per month (inclusive of pension), plus medical insurance and other entitlements.

Duration of Employment: 12 months with possibility of extension

This position is open for UAE nationals and/or those holding a valid UAE residency visa.

ORGANIZATIONAL CONTEXT

WFP owns, leases, and globally operates more than 1,400 trucks of different configurations, trailers and workshop facilities throughout 28 Country Offices. The WFP fleet is deployed to fill critical gaps in local transport capacity and stabilize transport rates in the event of increased insecurity and/or sudden growth in demand, as well as pioneer new routes that, due to prevailing insecurity, would remain inaccessible to local transporters. In Dubai, UAE, Global Fleet operate a regional fleet and centralized spare parts hub to better respond to Country Offices’ needs.
 

JOB PURPOSE

The selected incumbent will report to the System Administrator and will be expected to check and correct wrong data entries in WFP’s corporate Fleet Management System (FMS), produce FMS key performance reports, assist in FMS developments for a more user-friendly application, and provide FMS training. KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive)

Provide dedicated executive assistant support.
Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
Actively seek and use feedback to improve business processes and procedures.
Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for clients.
Oversee the maintenance of records and databases to ensure information is organized and readily available for staff and compliant with all relevant regulations and policies.
Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
Assist managers in planning, monitoring and reconciling budget(s) to ensure that planned financial resources are used effectively.
Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
Provide advice, support and/or training to junior support staff in the provision of business support services, in order to support their learning in providing business support.
Coordinate tasks of junior colleagues to ensure support services are delivered consistently and to the required standards.

SPECIFIC POST REQUIREMENTS

Essential:

  • Fluency in English and French
  • Proficiency in Excel
  • Experience in data analysis/management
  • Experience in providing system training

Desirable:

  • Ability to write SQL
  • Experience in the use of Asset/Fleet management system
  • Experience in business analysis/streamlining business process
  • University qualification

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE
 

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
 

Experience: Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
 

Language: Working knowledge (proficiency/FAO level C) of English
 

Knowledge & Skills:

  • Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Ability to monitor and record financial transactions.

Good communication skills required to give and receive information and work with a variety of individuals.
