This position is located within the Executive Office team. The main objective of the Executive Office is to provide support to the CEO/SRSG, the leadership team and the Governance Board to ensure efficient and effective leadership, implementation of organization's strategic direction and collaboration across the organization and teams.

Functional Responsibilities

Under the guidance and support of the Deputy CEO and in close coordination with the Executive Office, the Senior Officer, Executive Office will take full end-to-end accountability for providing administrative and content support to the DCEO. This includes undertaking routine and non-routine actions on administrative processes and steps, in alignment with the needs of the CEO/SRSG. S/He will develop studies and briefs to support the DCEO role. The Senior Officer will interact with a wide range of people globally, across government, private sector, NGO and international organizations, at the working level as well as at the highest leadership level.

The responsibilities of the Senior Officer, Executive Office, include but are not limited to:

Oversee the management of the DCEO agenda and correspondence proactively managing priorities, ensuring alignment with strategic goals, and responding to requests from various stakeholders related to meetings and engagements.

  • Coordinate and optimize the logistics and preparations of the DCEO’s travel ensuring. all trips are strategically planned, including travel arrangements, setting up meetings and and the creation of comprehensive briefing materials to support high-level engagements
  • Facilitate and drive key outcomes from DCEO meetings including leading the development and distribution of meeting minutes, tracking follow-up actions, and ensuring timely implementation of decisions across teams
  • Manage information in Salesforce regarding the DCEO planned and completed meetings and missions, maintaining accurate and up-to-date records of briefing and meeting notes to inform decision-making Provide DCEO with informative and detailed briefing notes on critical topics, offering insights and inputs supporting the DCEO in his function
  • Support the DCEO’s priorities management, including monitoring deadlines, overseeing coordination between P&D, MEL and Communications and ensuring alignment with overall organizational goals.;
  • Serve as a key liaison. with the Executive Office to facilitate seamless coordination and integration of activities across the DCEO, CEO/SRSG and Chief of Staff ensuring alignment and operational efficiency.
  • Take initiative in driving additional tasks as required, providing support to the DCEO in ensuring that all organizational and operational goals are met effectively.

Education/Experience/Language requirements

Education

  • An advanced university degree ( Master’s degree or equivalent) in Management, Economics, International Relations, Development Studies or a related field is required.
  • A first level university degree (Bachelor’s degree or equivalent) in a related field with an additional 2 years of relevant experience will be considered in lieu of the Masters degree.

Work Experience

  • Minimum 2 years of relevant experience in executive support, administration, coordination, planning, and/or project management is required.
  • Experience in and knowledge of the energy sector is an asset.
  • Previous experience working in an international organization is an asset.
  • Previous experience working in an Executive Office is a strong asset.

Language

  • Fluency in English is required.
  • Working knowledge of another, official UN language is an asset.
