Mission and objectives
The United Nations Volunteers (UNV) programme is the UN organization that contributes to peace and development through volunteerism worldwide. Volunteerism is a powerful means of engaging people in tackling development challenges, and it can transform the pace and nature of development. Volunteerism benefits both society at large and the individual volunteer by strengthening trust, solidarity and reciprocity among citizens, and by purposefully creating opportunities for participation. UNV contributes to peace and development by advocating for recognition of volunteers, working with partners to integrate volunteerism into development programming, and mobilizing an increasing number and diversity of volunteers, including experienced UN Volunteers, throughout the world. UNV embraces volunteerism as universal and inclusive and recognizes volunteerism in its diversity as well as the values that sustain it: free will, commitment, engagement and solidarity.
Context
Indonesia is one of the growing UNV programme countries under Asia and the Pacific region. There is no UNV field unit yet in Indonesia, and the position will be stationed within UNDP office in Jakarta, Indonesia. In 2024, 103 UN Volunteers (international and national) served across the country with various UN agencies. UNV contributes to the achievement of the Sustainable Development Goals (SDGs) through engaging UNV volunteers and promoting volunteerism at national and subnational level.
The position is envisaged to support the volunteer management, volunteer mobilization within UN Agencies, Funds, and Programmes focused on peace, development, and humanitarian needs along with increasing talent pool efforts in the country. The position is expected to deliver smooth processes of UN Volunteer recruitments, repatriations along with onboarding, inductions, extensions, day-to-day volunteer management, coordination with the agencies, volunteers ensuring close coordination with UNV Regional Office and HQ.

The position is expected to deliver smooth processes of UN Volunteer recruitments, repatriations along with onboarding, inductions, extensions, day-to-day volunteer management, coordination with the agencies, volunteers ensuring close coordination with UNV Regional Office and HQ.
Task description
Under the direct supervision of the UNV Country Coordinator/Regional Portfolio Specialist, Programme Assistant will deliver the following tasks:
• Complete tasks the pertinent steps of day-to-day UNV recruitment processes, onboarding, repatriation, extensions, and HR actions on UVP in close liaison with VSC and UNV Country Coordinator/Regional Portfolio Specialist
• Conduct pre-and post-arrival arrangements of UN Volunteers including pre-departure allowances/Settle-in-Grants, hotel booking, arranging inductions, and other pertinent issues for national and International Volunteers
• Conduct induction for the new UN Volunteers, providing support to necessary administrative and operational support to the new UN Volunteers i.e., introducing buddy system, liaising with VSC, and other pertinent issues.
• Provide all relevant support to the serving UN Volunteers and respond to their queries and maintain excellent coordination with UN Volunteers and host entities for their wellbeing.
• Support to liaise with country of recruitment on logistical/travel/financial arrangements for international UN Volunteer recruitment.
• Support to UNV mobilization by close coordination and follow-up with the agencies and partners following the guidance of UNV Country Coordinator/Regional Portfolio Specialist
• Provide support to online volunteer mobilization and arrange UNV Field Unit events, advocacy initiatives, observance of International Volunteer Day
• Provide support to the Country Coordinator/Regional Portfolio Specialist for coordination with the partners, arranging meetings, research works, arranging missions, policy works on volunteerism, developing talent pool and improving documentations.
• Provide necessary support to FU personnel with travel, visa arrangements, procurement, and payment issues.
• Maintain volunteer files, partners’, and volunteers’ database, and build an efficient documentation system.
• Maintain the files on UNV assets, repairing of ICT stuff and keep tracking on UNV furniture and other goods, if any.
• Perform quantum and UVP role as guided by UNV.
• Perform any other duties as guided by the UNV Country Coordinator/Regional Portfolio Specialist.
Results/Expected Outputs:
• Efficient and quality UN Volunteer recruitment, volunteer mobilization, volunteer management mechanism is in place.
• Increased diversified volunteer mobilization in the country.
• Improved and smart documentation, coordination, feedback techniques are practised.
• Competent volunteer management system is ensured.
• Quality volunteer support (including entitlements, procurements, UVP support, volunteer queries) is practised.
• Improved coordination with the UN agencies, partners, and UN Volunteers
• Improved image of UNV on volunteer management/agency partnerships, HR, procurement (if any), and pertinent activities.
Furthermore, UN Volunteers are required to:
• Strengthen knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities.
• Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities.
• Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.
• Assist with the UNV Buddy Programme for newly arrived UN Volunteers.
