UNDP China has been working in China over the past 40 years, partnering to advance various phases of China’s development. UNDP China’s actions and programmes for the period of 2021-2025 are defined in its Country Programme Document for China (CPD), prepared in cooperation with the Government of China and other partners. The CPD contributes to the United Nations Sustainable Development Cooperation Framework for China 2021-2025 and aligned to support the development priorities outlined in the Government of China’s 14th Five Year Plan.
The Communications, Innovation and Partnerships Team (CIP) of UNDP China promotes greater understanding and visibility of UNDP’s work by utilizing various communications tools. Fully engaging with the media, social media and leveraging on a strong network of Public-Private Partnerships, the team leads the design, management, and implementation of UNDP’s overall communications strategy, including design and roll out high-impact, multimedia campaigns; programme-oriented communications products; media relations and key events; localization of global content for Chinese audiences; and publications on critical development issues. On the innovation front, the team is facilitating and prototyping innovative solutions and experimenting with new ways of working to tackle complex development challenges outside the traditional development cycle.
As the Project Clerk , he/she is responsible for administrative and coordination support to the CIP Team to ensure high quality, accuracy, and consistency of the team’s work. Specifically, under the guidance and direct supervision of the Assistant Resident Representative in Communications, Innovation, and Partnerships, he/she will work in close collaboration with the Operations Team of UNDP China and China International Center for Economic and Technical Exchanges, to provide support to the design and development of innovation projects and initiatives.
Administrative and Coordination Support
- Support the team’s procurement process including but not limited to bidding, Request for Quotation (RFQ), Request for Proposal (RFP), direct contracting, micro micro-purchasing processing when needed; and assist in supplier profile registration;
- Facilitates Travel process for missions, including travel request and travel claim.
- Provides administrative and logistical support for meetings and events
- Support the team’s recruitment and separation processes by developing and preparing necessary documents
Project Management and Support
- Provide project management support to the team, including but not limited to,
- Creating and managing projects in UNDP’s Quantum system;
- Managing project finance status, creating requisitions, raising receipts, processing payments, and maintaining the internal expenditure control system;
- Tracking, monitoring, and reporting on the use of project resources;
- Provide support for the process of project approval, implementation, general operations, and closure of projects under the UNDP policies and regulations;
- Generate reports and information on the routine implementation of projects; review, verify, and reconcile financial data and reports to ensure accuracy and conformity with UNDP financial and administrative rules and regulations;
- Provide support to the partnership-building process, inclucing background research, relevant document preparation
Support knowledge building and knowledge sharing relevant to the assigned project.
- Participate in training on internal procedures for the project staff and provide support to the organization of training and other capacity building activities as needed.
- Make sound contributions to knowledge networks and communities of practice.
- Maintain organized records of project data, field activities, case studies, human-interest stories, photographs, and other relevant documents that can be drawn upon in support of knowledge sharing and advocacy.
The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Secondary education (Completion of High School Education) is required.
University degree (Bachelor’s degree) in Political Sciences, International Relations, Finance, Accounting, Business Management, or a related field will be given due consideration, but it is not a requirement.
- Minimum 4 years (with Secondary Education) or 1 year (with Bachelor´s degree) of relevant experience in operations or programme support.
- Experience in carrying out administrative tasks including but not limited to logistics arrangement,travel planning, and meeting scheduling etc.
- Procurement support experiences
- Experience in project management with desirably a focus on project finance and budget planning
- Experience with the public sector preferably with international organizations.
Required Language(s) : Fluent in Chinese and English is required.
