Functional Responsibilities
Under the direct supervision of the Project Manager, and in accordance with UNOPS policies, procedures and practices, the Supply Chain Management Associate is responsible for performing the following duties:
Supply and Logistics

Support the PM in the coordination and implementation of logistics activities to ensure timely, cost-effective service and safe delivery of goods to clients and the 3PI (Project management, Procurement, Infrastructure, Partnerships) unit, in accordance with UNOPS Financial Rules and Regulations and UNOPS Procurement Manual.

Support the Logistics component of the supply chain in coordination with the MMCO Procurement Officer.

Liaise and coordinate with freight forwarders and transport companies; with clients’ logistics teams to keep them continually informed about shipping dates and arrival estimates; and with the clients for issuance of custom duty exemption documents to the customs clearing agent.

Prepare documentation and delivery notes for certification purposes.

Maintain inventory and logistics-related documents and files.

Draft letters for dispatch to clients related to logistics & supply chain Management;

Keep the supervisor informed of the work progress and any risks or issues;

Maintain and monitor the workflow database and identify and rectify operational hindrances,

Handle complaints regarding the products and services quality at the operational level;

Monitor the performance of the suppliers;

Arrange transportation of equipment and materials to the designated location, including loading and uploading, and ensure issuance of proper documentation, i.e. delivery notes, packing list, insurance, etc.

Supervise customs clearance and reception of the goods and ensure that they are well registered in the monitoring sheet.

Follow the client’s complaint regarding the quality of the goods at reception time and report timely to the procurement Officer;

In collaboration with the procurement team and client’s needs, develop related storage and distribution strategies;

Work with team member counterparts on logistics needs to deliver schedules and provide technical support on handling logistics and cost implications for safe delivery both internationally and nationally;

Support the PMs in developing inventory checklists and distribution checklists to monitor stocks and status of distribution. He/she will regularly review and update operating procedures related to storage and distribution to ensure that any lesson learned and best practices are incorporated.

Ensure good services are provided according to clients needs and to the quality which includes ;

Support the PM in the development of sampling methodologies for quality testing of medicines to ensure quality, including getting the samples and coordinating with relevant labs etc. for quality testing
Administration and Travel Support

Arrange trips and field visits and coordinate all related logistics and administrative matters such as preparation of travel reservations, travel authorization, field trip plans, and process travel entitlements using necessary UNOPS corporate system and tools (TADA).

Support in organizing workshops, meetings, events and training by making all arrangements for venues and catering, preparing handouts, handling of petty cash requests and operational cash advances and other requirements.

Responsible for the unit’s asset management to ensure proper inventory control, including proper transfer, disposal, and change of ownership of assets during the programme life cycle, coordinate required verification and reports, and ensure proper documentation and filing.
Education/Experience/Language requirements
- Completion of secondary school is required.
- First University Degree preferably in Finance, Business Administration, Public Administration, Economics or a related field in combination with qualifying experience may substitute some of the required years of experience.
- A minimum six (6) years of relevant experience at the national or international level in logistic and operation management, supply chain management of warehouse management, and administration work is required.
- Experience of working with Incoterms or International Commercial Terms is required.
- Knowledge of UN rules and regulations, particularly UNOPS procurement procedures is an advantage.
Language Requirement
- Fluency in written and oral English and Myanmar language is required.
