Background

WFP Brazil - Centre of Excellence against Hunger is a global hub for South-South Cooperation and capacity development in the areas of school feeding, food security and nutrition. It is an innovation that seeks to respond government demands for technical support to strengthen their national capacities and knowledge on food security initiatives and to support them in the design and implementation of these programmes.

The Business Support Assistant will report directly to the Head of Programme. In this position, the job holder is expected to deliver a range of routine business support tasks, to ensure that staff are effectively supported, ensuring quality, accuracy and consistency of work.

Duties and Responsibilities

Within delegated authority, the Business Support Assistant will support the Programme Unit in the following duties:

1.    Draft routine correspondence and proofread materials using proper grammar, punctuation, and style.
2.    Coordinate schedules and team priorities, monitor changes, and communicate relevant information to appropriate staff, both within and outside the immediate work unit.
3.    Help maintain up-to-date distribution lists, travel schedules, and leave schedules.
4.    Process and manage routine administrative and financial tasks within the Programme Unit to contribute to the effective and timely management of resources.
5.    Assist with official travel arrangements for Programme Unit staff (e.g., trip documents, flight and hotel bookings).
6.    Assist with the preparation and logistical planning for various events (e.g., conferences, workshops, meetings, missions) and liaise with other units.
7.    Undertake standard data entry tasks in accordance with defined systems to ensure information is organized and readily available for the Programme team.
8.    Resolve non-routine problems with appropriate guidance as necessary.
9.    Perform other duties related to the functional area.

Qualifications and experience

Education:

  • Completion of high school education. University degree in Administration or any other relevant subject will be considered an asset.

Experience:

  • Three or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
  • Experience in multicultural environments and working with staff from other cultures and background is an asset.
  • Experience in working with UN agencies, development partners, high-level authorities, local governments and civil society organizations is desirable.

Language:

  • Oral and written fluency in Portuguese and English.

Knowledge and skills:

  • Ability to work independently in a timely and organised manner.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Excellent oral and written communication skills.
  • Willingness to explore and experiment with new ideas and approaches in own work.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to work in a team.
  • Knowledge and practical use of ERPs (e.g. SAP) is an advantage.

Business Support Services & Reporting - Exhibits ability to convert business plans into clear actions for team members to support the implementation of the program. Collects and reports data to draw out fact-based insights.

Internal Controls & Risk Management - Demonstrates basic knowledge of internal controls, risk management, and monitoring mechanisms and their applicability to immediate client’s critical activities.

Resource Management - Monitors trends in staffing and resource usage to anticipate and escalate potential issues to programme leaders and key clients.

Specialised Knowledge in Administrative Services - Demonstrates a broad or specialist knowledge of administration best practices, techniques and processes, and a good grasp of WFP standards, processes, and infrastructure in area of responsibility; applies this to ensure the provision of efficient and effective administration services.

Customer Focus - Monitors and supervises administrative work against the established standards and protocols for service excellence. Ensures that customer problems are identified and resolved.

Remuneration package

For this position, the incumbent is entitled to a gross monthly salary of BRL 5,395.66. WFP also pays the local social security plan (INSS). The contract includes a co-participative international health insurance plan to the employee and dependents (spouse and children), and a death and disability plan to the employee.

The candidate must have Brazilian Nationality or be legally authorized to work in the country.
