THE BANK

 

Established in 1964, the African Development Bank Group (AfDB) is the premier pan-African development institution, promoting economic growth and social progress across the continent. There are 80 member states, including 54 in Africa (Regional Member Countries).  The Bank's development agenda is to deliver financial and technical support for transformative projects that will significantly reduce poverty through inclusive and sustainable economic growth in Africa. In order to sharply focus the objectives of the Ten-Year Strategy (2024–2033) and ensure greater developmental impact, five major areas (High 5s), all of which will accelerate our delivery for Africa, have been identified for scaling up, namely; energy, agribusiness, industrialisation, regional integration and improving the quality of life for the people of Africa.

 

THE HIRING COMPLEX

 

Within the Regional Development, Integration, and Business Delivery Complex (RDVP), the Bank has five (5) Regional Development and Business Delivery Offices, one in each region of Africa: North, South, East, West, and Central. The Regional Development and Business Delivery Offices are headed by Directors General.  The Complex also includes a dedicated directorate for Nigeria, a department for Transition States, and a Regional Integration Coordination Office.

 

One of the key mandates of the Complex is the implementation of the Regional Integration Strategic Framework (RISF). The RISF is the Bank’s overarching strategy to support the operationalisation of Integrate Africa, Agenda 2063, and the African Continental Free Trade Area (AfCFTA). It aims to accelerate the free flow of goods, services, people, and capital across Africa. The Regional Integration Strategic Framework is underpinned by large-scale investments in regional infrastructure, especially energy, transport, water, and information and communications technology.

 

THE HIRING DEPARTMENT:

 

As the leading actor in implementing the priority 'Integrate Africa,' the Regional Integration Coordination Office helps to ensure strategic, programmatic, and operational coherence and the efficient and transparent allocation of resources for regional operations and regional public goods.

 

In close collaboration with the Joint Secretariat Support Office (JSSO), the department supports high-level policy dialogue with the African Union Commission, the Regional Economic Communities, the AfCFTA Secretariat, and related intergovernmental organisations to streamline cooperation mechanisms, drive investments, and promote reforms that accelerate the implementation of Agenda 2063, Integrate Africa, and the AfCFTA. 

 

Internally, the department helps mainstream regional integration into Bank strategies and operations. It monitors the performance of the regional integration portfolio, draws lessons from periodic reviews, and provides strategic, policy, and operational information to Senior Management to improve performance.

 

The Regional Integration Coordination Office is also instrumental in designing, publishing and updating flagship analytical products and advocacy tools such as the African Visa Openness Index and the African Regional Integration Index.

 

THE POSITION

 

The Unit/Team Assistant STS function within General Services provides administrative support for the smooth running of the unit/team, ensuring that the Head of Unit/ Team Leader is freed from any duties that might otherwise impede the effective execution of higher-level functions and responsibilities.

 

Each team has unique functions, but the work of the STS Unit/Team Assistant is uniform across all teams and aims at ensuring the smooth running of the structure that is managed by the respective Head of Unit/Team Leader.

 

Consequently, the work of the Unit/Team Assistant facilitates and contributes to the success of the Head of Unit/Team Leader in the efficient performance of his/her work as part of the Bank's strategy for the achievement of the High 5s.

 

KEY FUNCTIONS:

 

Under the general guidance and supervision of the Head of Unit/Team Leader, the Unit/Team Assistant will perform the following tasks:

 

  1. WORKFLOW MANAGEMENT
  1. Undertake transactions and processes that ensure the smooth running of the unit's/team's work;
  2. Provide support and follow up on correspondence and routine administrative processes;
  3. Process correspondence and tasks following the Bank's accepted formats and check on probable typographical errors, presentation, completeness and procedural accuracy of all documents submitted to the Head of Unit/Team Leader for authorisation, approval or signature;
  4. Review and prioritise important correspondence and tasks for performance;
  5. Monitor and ensure the timely and diligent completion of tasks.

 

  1. COMMUNICATION AND LIAISON
  1. Receive visitors and telephone calls with tact and discretion, and act according to the nature and urgency of each, including redirecting to the concerned team members or action parties as appropriate;
  2. Facilitate scheduling and venue arrangements for meetings;
  3. Provide support to the Head of Unit/Team Leader on appointments with official visitors and/or members of staff;
  4. Monitor deadlines for completion of routine and assigned tasks;
  5. Organise meetings for the Head of Unit/Team leader, in line with the week's schedule and programme;
  6. Schedule meetings and provide support to ensure their success;
  7. Draft meeting reports/minutes.

 

  1. RECORD KEEPING AND DOCUMENTATION
  1. Maintain a filing system of paper and electronic records to meet the needs of the unit/team;
  2. Maintain a weekly calendar of activities showing all scheduled meetings to be attended by the Head of Unit / Team leader and other staff. This also includes any external visits to the department;
  3. Obtain briefing notes and reference documents for meetings, seminars, workshops, etc. to be attended by unit/team staff, checking their availability and ensuring that the relevant information packs and documents are available;
  4. Keep an up-to-date address book of contacts collaborating with the unit/team.

 

  1. OFFICE ADMINISTRATION
  1. Organise travel for the Head of Unit/unit/team members, including tickets, hotel bookings, etc.;
  2. Provide support in the preparation of presentations as required;
  3. Photocopying and sending electronic communications as required;
  4. Perform any other related duties as assigned by the Head of Unit/Team Leader.

 

COMPETENCIES (Qualifications, Experience and Skills)

 

  1. A minimum of a Bachelor's degree in Business Management, Commerce, Business Administration, Communications or a related discipline;
  2. Training in secretarial and/or office administration and management is an advantage;
  3. Hold at least 4/5 years of relevant and practical experience in administrative and secretarial positions in similar positions in international organisations, development banks or similar institutions;
  4. Experience in the private sector will be an added advantage;
  5. Sound working knowledge of office administration and support services, including systems and procedures;
  6. Capacity to work under pressure and prioritize tasks in a dynamic international and multicultural environment;
  7. Efficient management of internal and external requests;
  8. Ability to work and collaborate with people from diverse backgrounds;
  9. Capacity to manage simultaneous and changing demands as well as  priorities and tight deadlines;
  10. Proficiency in the use of standard office equipment (computer, fax, scanner, photocopier, etc.);
  11. Proven commitment to excellent customer service with  focus on reception and administration;
