Administrative Assistant
The International Potato Center(CIP) is seeking one Administrative Assistant to support the operations team at CIP-China for Asia Pacific (CCCAP).
About the role
This position will be based in CCCAP Downtown office at Haidian District, Beijing. Under the overall supervision of the director of CCCAP, the direct supervision and guidance of the Operation Officer of CCCAP. This position requires the ideal candidate to work in CCCAP 40 hours per week based on the tasks assigned by the operation team, performs the tasks described below, Key responsibilities:
The ideal candidate will mainly focus on these tasks/responsibilities below: • Provide daily effective administrative support for CCCAP team, using Microsoft office and other tools;
• Assist with office activities, such as managing schedules, organizing and preparing relevant briefings or background material for meetings, events, exhibitions and hosting visits. • Assist to prepare for the travel request/liquidation, hotels reservation, train/air tickets, booking, managing assets and equipment in downtown office, including CCCAP’s vehicle, inter networks and computers, etc., ensure the maintenance and working smoothly. • AssistSocialandEconomicResearchers,preparingandmaintainingbasicstatisticdatabank with basic analysis.
the review and proofreading of project-related agreements and contracts.
What are we looking for?
The ideal candidate should have the following knowledge, experience, skills and personal characteristics:
• Bachelor’s degree in managing business administration or related studies. • At least 3 years of experience required in similar positions in Administration or General Services department. Priority given to work experience in government departments. • Proficiency in Word, Outlook, Excel and PowerPoint.
• Good in English listening, speaking, reading, and writing skills.
• Abilitytoworkandthriveunderhighworkdemands,highpressuretomeet tightdeadlines, and able to manage his/her time effectively.
• Ability to deal effectively with complex situations and demands, with internal and external contacts at all levels.
• Good judgment, diplomacy and tactfulness are essential traits for this position. • The successful candidate will be required to show absolute discretion in handling confidential and sensitive information. • Proven ability to work in a multicultural cultural environment as a proactive team player while carrying out multiple tasks on daily basis with a positive attitude.
• Good sense of marketing and customer service.
