Job Description
Under the overall supervision of the Chief of Mission and direct supervision of the National Head of Resource Management and, in collaboration with relevant Project Managers, the successful candidate will facilitate efficient implementation of resource management processes for the self-payer programmes including Migration Services to Australia, Australia: approved proposing organization for community support programmes, the Humantarian Entrants Programmes and the No-Interest loan scheme.
Responsibilities
1. Facilitate the processing of operational payments, including the preparation of requests, verification of supporting documentation, monitoring approval flows and communicating approval in line with standard operating procedures.
2. Verify payments received into IOM bank account through CommBiz and BPoint payment platforms.
3. Monitor operational credit card balances, make recommendations for card limits based on operational trends and prepare requests for timely replenishment as required.
4. Verify and input financial and related data into IOM financial management systems and case management databases within established timeframes to support the efficient implementation of projects.
5. Extract monthly financial reports and support project managers to review the accuracy and completeness of project report data.
6. Facilitate the generation and distribution of monthly loan balance reports to beneficiaries and supporters in line with the standard operating procedures.
7. Act as the Focal Point for self-payers travel programmes and provide advice and guidance to overseas Country Offices on consumption and reconciliation.
8. Any other tasks as may be assigned.
Qualifications
EDUCATION
- High School diploma with four years of relevant experience; or,
- Bachelor’s degree in Business Administration, Accounting, Finances, or related fields with two years of relevant professional experience.
EXPERIENCE
- Experience in financial administration;
- Experience in providing administrative support;
- Experience using an Enterprise Resource Planning system is an advantage; and,
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
SKILLS
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; and good computer literacy skills are required;
- Strong organizational and time management skills; and ability to deliver under tight timelines;
- Strong attention to details and analytical skills, patient and willingness to learn new things;
Knowledge of IOM or UN internal procurement and financial rules and corresponding ERP components is an advantage.
