WFP CO Armenia currently has a light vehicle motor pool consisting of 6 vehicles, in three locations.  Since 2020, there are certain corporate requirements for managing fleet, such as humanitarian booking, entering data into fleet management system plus regularly issuing fuel and organizing vehicle maintenance in above mentioned locations, including invoice verification and payment processing for service providers.
In view of the above tasks, CO Operation unit needs a staff who will perform the mentioned duties in addition to being CO travel focal point for in-country travels. CO Operation unit, in view of security and cost saving, is planning to have agreements with hotels in all major cities of RA and after DSS approval use them for staff internal travel.

Under the overall strategic guidance of the Head of Operations and the direct supervision of the Management Services Associate (Administration Associate), the Business Support Assistant (Management Services) will perform the following duties and responsibilities:

  • Respond to admin-related queries and manage routine administrative tasks to ensure timely and accurate service delivery.
  • Support procurement processes, draft minor documentation, and report discrepancies to senior staff.
  • Maintain standard filing systems (both electronic and paper), ensure data integrity in corporate systems, and compile monthly reports.
  • Arrange in-country travel, including hotel reservations and processing in corporate systems. Assist in fleet management by preparing vehicle reports, maintaining records, and ensuring timely maintenance.
  • Ensure adherence to established procedures for managing administrative systems and records.
  • Provide guidance to junior colleagues on routine business support methods to maintain consistency and high standards.
  • Assist the Management Services Associate with small procurement, drafting reports, and memos.
  • Undertake research, perform basic data analysis, and contribute to the effective management of resources.
  • Perform other related duties as required. 

  • DELIVERABLES AT THE END OF THE CONTRACT:
  • All in-country travel documents are properly prepared.
  • New hotels in provinces are identified and contracted.
  • Admin-related digital filing system is updated.
  • CO light vehicles are managed for proper maintenance and all fleet-related corporate systems are updated.
  • CO Vehicle reports are kept up-to-date and filed properly.
  • Vehicle-related documents are processed and maintained.
