Background

Under the overall guidance and supervision of UNCTAD Project Manager, the Administrative Assistant/Translator assists in the management of administrative services.

This role involves administering and executing processes and transactions while ensuring a high quality and accuracy of work. The Administrative Assistant/Translator will be required to interpret for UNCTAD international staff in informal settings and provide translations into the Portuguese language.

The Administrative Assistant/Translator promotes a client, quality and results-oriented approach.

Duties and Responsibilities

1. Ensures implementation of operational strategies, focusing on achievement of the following results:

  • Full compliance of administrative activities with UN / UNDP and UNCTAD rules, regulations, policies and strategies.
  • Provision of inputs to the administrative business processes mapping and implementation of the internal standard operating procedures (SOPs).

2. Ensures efficient administrative support, focusing on achievement of the following results:

  • Organization and coordination of shipments and customs clearance.
  • Coordination of travel arrangements.
  • Performing administrative roles in UMOJA in particulars creating shopping carts and travel and expense reports for meeting participants.
  • Organization of workshops, conferences, retreats.
  • Coordination of DSA, travel agencies, and other administrative surveys, surveys for organization of common services.

3. Provides translation/interpretation services, focusing on the achievement of the following results:

  • Provision of translation work (from English to Portuguese) for various documents.
  • Provision of interpretation services for English-speaking UNCTAD experts in informal and operational contexts.

4. Provides support to proper supply and assets management, focusing on achievement of the following result:

  • Coordination of assets management, timely preparation and submission of periodic inventory reports.
  • Coordination of the provision of reliable and quality office supplies

5. Ensures proper common services focusing on achievement of the following result:

  • Maintenance of common services/office space management to ensure integrated activities on common services and implementation of the UN reform.

Required Skills and Experience
 
Education:
  • Secondary education. Certification in administration desirable. 
  • University Degree in English language, Business Administration, Public Administration, or related  field will be given due consideration, but it is not a requirement.
Experience:
  • 5 years (with secondary school education) or 2 years (with bachelor degree) of relevant experience in administration or programme support service. 
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.). 
  • Experience in handling of web-based management systems.
  • Experience in preparing briefing, report writing and meetings minutes 
  • Experience with interpretation/translation English/Portuguese is an advantage. 
  • Experience in organizing events (seminars, workshops, retreats, etc.) desirable
  • Familiarity with inventory and asset control desirable

Languages:

  • Fluency in Portuguese and English is a requirement.
