Purpose of the Role
The Senior Pipeline and Data Integrity Manager plays a critical role in overseeing data accuracy, pipeline monitoring, and reporting for the Assisted Passage Program (APP). This position ensures that case processing and data integrity align with IRC, TOLL and the Australian Department of Home Affairs (DoHA) policies while leading efforts in quality control, reporting, and process improvements. The role requires close collaboration with internal leadership, TOLL, DoHA, UNHCR, and other key stakeholders to ensure smooth and efficient refugee case processing.

Highlights of Key Responsibilities 
Pipeline Monitoring & Data Integrity:
  • Monitor case processing workflows and data usage practices, identifying inefficiencies and recommending process improvements.
  • Perform quality checks on applicant cases to ensure proper functionality use, providing feedback and recommendations to Senior Management.
  • Lead data clean-up efforts, including ad hoc clean-ups in response to policy updates and system feature enhancements.
  • Oversee and implement quality control measures for pre- and post-visa grant processing.
  • Maintain up-to-date knowledge of DoHA, TOLL, and IRC policies and ensure their proper application within APP.
 Reporting & Analysis:
  • Oversee the development, maintenance, and distribution of APP quality control reports.
  • Lead reports management for internal and external partners, including UNHCR, IOM, TOLL, the Australian Department of Home Affairs (DoHA), and resettlement agencies.
  • Run daily, weekly, and monthly reports to support APP departments and leadership.
 Training & Communication:
  • Serve as the primary liaison to address pipeline monitoring concerns and provide feedback.
  • Lead communication efforts with partners to ensure seamless refugee application processing.
  • Develop and deliver training for APP staff on data entry, filters, reports, and quality control practices.
  • Provide feedback to management on data trends and areas for process improvement.
Leadership & Team Management:
  • Coordinate with APP managers on unit-specific training and quality control needs.
  • Ensure professional and clear communication across internal teams and external partners, including IOM, DoHA, UNHCR, and IRC.
Minimum Qualifications:
Work Experience:
  • At least seven years of experience, including five years in data management, pipeline monitoring, or reporting within a humanitarian, refugee, or resettlement context
  • Minimum one year of experience in project management, including managing reports and workload distribution.
  • Experience in Resettlement processing and/or other durable solution areas preferred
  • Experience with CommCare is an advantage
Skills & Competencies:
  • Strong data management and analysis skills – meticulous, accurate, and focused on quality control.
  • Excellent problem-solving and analytical abilities.
  • Ability to work under pressure and manage multiple priorities with tight deadlines.
  • Effective communicator with strong interpersonal skills for coordinating with internal and external partners.
  • Proactive and solution oriented, able to work independently and lead process improvements.
  • Experience with training and mentoring staff on data management and reporting tools.
  • Demonstrated ability to adapt to changing policies and procedures in a fast-paced, multicultural environment.
Language & Computer Skills:
  • Fluent in English (written and spoken).
  • Working knowledge of a refugee language is a plus.
  • Proficiency in database management, Microsoft Word, Excel, Access, PowerPoint, and Outlook required.
Specific Educational Qualification
  • Bachelor’s degree in a relevant field required; Master’s degree preferred.
