Organizational Setting and Reporting Relationship
The position of Operations Assistant is assigned to the Thailand Resident Mission (TRM) within the Southeast Asia Department. You will be based at our Resident Mission Office in Bangkok.
You will report to the designated international staff and officer.
Your Role
As an Operations Assistant, you will provide administrative support, database management and logistics support to the Country Operations Head and international staff assigned to TRM.
You will:
- Perform a full range of administrative support for the assigned officers, including managing records, contact with the public, preparing correspondence and reports, assistance for visiting ADB missions and other appropriate functions.
- Coordinate supervisor's schedule by maintaining diaries, arranging appointments, meetings, travel and accommodation following ADB procedures.
- Ensure that all correspondence and documents are prepared in compliance with ADB's standards and logged and distributed to the concerned staff.
- Ensure that office filing systems and records are maintained and updated for easy documents retrieval and tracking. Maintain relevant databases and records for administrative tasks.
- Be a liaison for event preparation in Thailand. Help organizing meetings, press conferences, workshops, seminars, training, and staff recreation both inside and outside the office and ensuring adequacy and proper arrangement of required logistic facilities.
- Coordinate with hotels, suppliers, and food and beverage vendors as the venue for respective events/participants. Prepare related documents for distribution.
- Maintain liaison with multiple service providers/vendors to ensure levels of services including search for new service providers/vendors and evaluate current service providers/vendors including request and negotiate the hotel rate for official use.
- Relieve other Operations Assistants when they are absent.
- Perform other responsibilities as may be assigned and reflected in the incumbent's workplan.
Qualifications
You will need:
- Bachelor's degree in business administration, general management or related field
- At least 5 years of relevant work experience
- Comprehensive knowledge of procedures of the relevant work area
- Sound knowledge of Microsoft Office 365 suite and common word-processing, spreadsheets and graphics software used within ADB.
- Familiarity in videoconferencing tools (MS Teams, Zoom, Webex)
- Knowledge of relevant ADB procedures and guidelines is advantageous
- Ability to work collaboratively with teams as a constructive team member
- Good sense of judgement and keen on details.
- Excellent command of written and spoken English.

Additional Information
This opening is a local staff position. It is open only to nationals and residents of Thailand.
This is a fixed term appointment with option to renew for an initial period of 3 years following Section 3.1 (b) of Administrative Order No. 2.01 ("Recruitment and Appointment'). This appointment is not convertible to a regular appointment. At the end of the initial period, this appointment may be renewed for a period of up to three years, or not renewed. There is no limit on the number of renewals. This appointment is open to internal and external applicants.
