Job Description
Infrastructure is an operational unit within IOM Cox’s Bazar, Bangladesh. The unit is integral to the Rohingya Refugee Response implemented by the International Organization for Migration (IOM) with funding from various international donors. Infrastructure Unit activities include site planning, medium-complexity infrastructure projects, primarily roads, bridges, health and community facilities and various types of site rehabilitation works, including drainage, pedestrian access, earth stabilization and installation of solar street lighting throughout the camps and ‘out of camp’ sites in Cox’s Bazar District, Bangladesh.
Under the overall supervision of the Head of Humanitarian Assistance and Operations in Cox’s Bazar and direct supervision of the Infrastructure Coordinator the Programme Support Assistant (Infrastructure) will be responsible and accountable for assisting the day to day administrative activities of Infrastructure unit.
Responsibilities
1. Provide administrative and logistical support to Infrastructure staff for all project sites.
2. Monitor existing resources such as Infrastructure stationery stock and phone credit; estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services for the Infrastructure staff.
3. Maintain records of projects files and documents related to Procurement, HR and Finance.
4. Provide HR assistance with close collaboration with IOM COX BAZAR HR department for the operations of the Infrastructure unit by ensure monthly payment of all Enroute staff. Maintain record of attendance sheet and necessary evidence.
5. Assist to compile weekly and monthly reports for all projects / cash advance in a timely manner and with accuracy, regularly updating and sharing the report with the Infrastructure coordinator and all the relevant staff members.
6. Liaise with engineers on the vendor payments and support Infrastructure unit by processing Purchase Request (PR)
7. Work closely with finance and supply chain unit on tracking payments and preparing Request for Payment (RFP), for ensuring timely payment.
8. Perform such other duties that may be assigned by the Supervisor(s).
Qualifications
- University degree or diploma, preferably in Administration, Management or equivalent combination of training and experience.
- At least two years of experience or four years for candidates holding school diploma, in administrative, financial and logistics assistance of a public or private institution, of which at least 1 years must be related to program assistance for humanitarian work in Bangladesh.
- Experience working with international organizations.
- High level of computer literacy (MS Office Word, Excel, Outlook).
- Capacity to work effectively and harmoniously with colleagues from various professional backgrounds.
- Ability to work under difficult conditions and outside normal working hours while maintaining security awareness.
- Excellent communication skills both oral and written in English and Bengali
- Ability to prepare clear and concise reports.
- Strong strategic, analytical and creative thinking skills.
- Ability to cooperate and coordinate with other units, implementing partners, NGOs and government departments
- Personal commitment, efficiency, flexibility and drive for results.

- For this position, fluency in English and Bangla is required (oral and written).
- Working knowledge of Rohingya language is desirable.
