Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises.

The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality.

The IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.

The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

IFRC has a zero-tolerance policy on conduct that is incompatible with the aims and objectives of the Red Cross and Red Crescent Movement, including sexual exploitation and abuse, sexual harassment and other forms of harassment, abuse of authority, discrimination, and lack of integrity (including but not limited to financial misconduct). IFRC also adheres to strict child safeguarding principles. 

IFRC-DREF is the International Federation’s Fund for supporting anticipatory action and immediate disaster response by the National Societies and is managed by the Secretariat. It provides allocations as loans or grants depending on the scale of the response operation and has an annual budget of around CHF 70 million, with funding contributed by governments, institutional, corporate, and private donors through an annual plan.

This position is based at the IFRC Global Services Centre (GSC) in Budapest. The GSC is established in July 2017 to host, as part of the Secretariat in Geneva, Global Services and provide expertise and high-level support to the organization.

Job Purpose

To provide overall support and assistance to the DREF global team in the management of the fund, including support to DREF Senior Officer and the DREF Monitoring and Evaluation (M&E) Officer on the collection and monitoring of data on DREF operations, including assistance to monitoring of implementation of DREF grants. To analyze and visualize DREF monitoring information to report on the fund's performance. The intern will also have a significant role in the management of the DREF Feedback Process, contributing to analysis, visualization, and reporting on the initiative. The intern will also have the opportunity to support the DREF Reviews and DREF Capacity Strengthening files on a need's basis.

Job Duties and Responsibilities

Monitoring of DREF operations and reporting:

  • Update standard DREF data collection tools and prepare visuals to feed in different reports and documents.
  • Upon request, prepare statistical analysis of DREF operations and content infographics for presentations, reports and donor communication.

Feedback Process and Data Management:

  • Data collection for DREF feedback processes.
  • Support the analysis and reporting on the feedback collection, visuals and support the integration of feedback findings into reports.
  • Contribute to bi-monthly feedback reports, creating key messages and communications.

Administrative support:

  • Support organization meetings of DREF advisory group and donors, including note taking and preparation and distribution of information materials.
  • Provide administrative services for the DREF including correspondence, filing, maintenance of contact lists.
  • Support the revision of the DREF SharePoint site, aligning it with the filing systems

Capacity strengthening and Operational Reviews:

  • Collaborate on the preparation of DREF trainings when needed, including the development of disaster scenarios and other materials
  • Support the ongoing development of the DREF Guidelines, coordinating feedback across team members and setting up reminders.
  • Ad-hoc support on the maintenance of DREF Operational Review datasets and quality of reports.

  • Familiarity with standard computer applications such as Excel, Microsoft Office, and Microsoft Power Point.
  • Interest in data management and visualization.
  • Strong communication skills and professionalism.
  • Eagerness to learn about DREF operations and feedback processes.

Experience

Required

  • Minimum of 1-year relevant experience in an administrative position in an international humanitarian organization
  • Previous experience of preparing visual materials and data visualization
  • Previous experience with content production for external communication
  • Proven capacity to analyze financial reports and write narrative reports

Knowledge, Skills and Languages

KNOWLEDGE AND SKILLS

Required:

  • Excellent written and oral communication skills
  • Flexible, able to multi-task and work under pressure
  • Excellent computer skills (Excel, presentations and database) and knowledge of preparation and use of statistics

Preferred:

  • Basic knowledge of design Software tools (Canva, Photoshop)
  • Basic knowledge of Power Bi
