Organizational Setting and Reporting Relationship

The position of Senior Operations Assistant is assigned to the Private Sector Financial Institutions Division (PSFI) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.

You will report to Designated International Staff and Officer (as applicable).

Your Role

As a Senior Operations Assistant, you will provide administrative and technical support and help coordinate administrative activities for the assigned unit. You will coordinate within PSOD, other ADB departments, and external parties.

You will:

a. General Support

  • Manage supervisors' schedule including resolving scheduling conflicts, exercising judgement in organizing the scheduling and accepting of supervisors' meetings
  • Organize mission travel, including forward planning, reviewing and recommending appropriate flight options, itinerary, including transport and hotel accommodation, processing mission authorization and travel requests including expense claims.
  • Ensure that appropriate arrangements are made for internal and external meetings and events including, registration, materials, logistics, location, among others
  • Retrieve data, perform research and prepare basic reports and presentations

b. Office Matters: Mail/Written Communication and Follow-up

  • Monitor all incoming documents and ensure office filing systems and records are maintained and updated
  • Review all incoming documents and mail, and distribute to concerned staff promptly

c. Oral Communications/Internal & External Contacts

  • Provide efficient administrative services by proper screening of incoming telephone calls, taking accurate messages, dealing with queries from internal/external partners to ensure they are referred promptly to concerned staff
  • Attend to visitors and ensure that they are welcomed and escorted to meetings; and unexpected visitors are referred promptly to the concerned staff
  • Ensure follow-up of specific queries
  • Maintain a directory and record of external contacts

d. Coordination

  • Coordinate with internal and external staff, clients, and other stakeholders
  • Perform certain standard tasks such as ensuring office supplies are available
  • Relieve other Operations Assistants who are on leave or on mission

e. Budget Monitoring and Support to Technical Assistance

  • Support the processing and administration of technical assistance including procurement of TA consultant, monitoring of outputs and DMF, capacity building and training activities.
  • Perform as Division budget alternate including monitoring of budget, engagement and management of staff consultants, processing of invoices, and preparing budget requests.
  • Perform other tasks as may be required and as reflected in the workplan.

Qualifications

You will need:

  • Bachelor's degree
  • At least 5 years of relevant professional experience.
  • Advanced computer literary, memo composition and editing.
  • Experience managing multiple tasks within general schedule of work, instructions and standardized practices.
  • To respond and foresee implication of own outputs, and efficiently undertake tasks.
  • To collaborate with teams as a constructive team member.
  • To work with individuals from different cultural and national backgrounds.
  • Good analytical thinking and make simple causal links, pro-and-con lists and analyses to reach a decision.
  • Experience collaborating with individuals from diverse professional and cultural backgrounds.
  • Ability to maintain composure under pressure.
  • Written and verbal communication proficiency in English.

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
