1. Project Background

The Asian Infrastructure Investment Bank (AIIB) Annual Report (the Project) is a comprehensive report of AIIB’s activities for the previous year. It is a collective report from all business units and includes project impact report and case studies. The Project Coordinator will provide project management, coordination and administrative support toward the effective and timely publication and dissemination of the 2025 Annual Report and its collaterals. They will be responsible for document, data and collaterals management as well as for organizing and coordinating meetings and the outputs of stakeholders and external vendors to ensure the successful and timely production of the Annual Report. The target date for going live with the Annual Report is June 2026.

2. Objectives of the Assignment

Under the supervision of the Senior Communications Officer (Editorial), and overall guidance of the Director General, Communications Department, the Project Coordinator will provide project management, coordination and administrative support to ensure the achievement of Project’s objectives and delivery of its outputs, specifically: 1. 2025 Annual Report in print format 2. 2025 Annual Report in online format 3. 2025 Annual Report microsite on the AIIB website 4. 2025 Annual Report photos 5. Infographics, graphs and charts and 6. Series of social media collaterals The consultant will work for 160 working days spread out from November 15, 2025 to July 31, 2026 (dates to be adjusted depending on date of onboarding). Please note that due to the nature of the project, there will be periods of time when no actual coordination will occur because the Project Coordinator will be waiting for clearances from AIIB and/or outputs from the stakeholders or vendors and consultants.

3. Scope of Services

The Project Coordinator will: 1. Prepare and submit a detailed work plan. 2. Coordinate the implementation of the Project in a timely manner and be responsible for its financial and technical oversight in line with AIIB’s policies and practices. 3. Provide input for the development of the Annual Report Project outputs, particularly for the project features and case studies. Develop and produce feature stories and case studies, with the help of external vendors, that can be used in various ways for the Annual Report, and other AIIB communication channels. 4. Coordinate recruitment and submissions of external vendors engaged to provide writing and photo documentation for the Annual Report. 5. Organize and manage meetings and other activities, including appointments with stakeholders/consultations, logistical arrangements and providing archival and administrative support; liase and coordinate activities with the relevant AIIB divisions, departments, clients, consultants, external vendors and other stakeholders to support the implementation of the Project. 6. Assist in finalizing the 2025 Annual Report outputs; integrating any feedback from AIIB business units and stakeholders; and ensuring accuracy, clarity and coherence. 7. Maintain a traffic-light tracker and circulate reminders/notifications to stakeholders regarding the status of the activities that are moving to amber or red status. 8. Track and monitor the progress of each project component and make adjustments as necessary to ensure the successful completion of each component. 9. Maintain a project calendar and assist in the development of presentations to highlight the progress of the project. 10. Ensure clear communication among all groups involved in the successful delivery of each activity of the Project. 11. Ensure the project is properly closed out and project documentation completed and archived. 12. Perform such other duties as may be assigned.

5. Implementation Arrangement

The Production Coordinator will be primarily based at the Bank's HQ. When working remotely, the Production Coordinator should be responsible for their own equipment and ensure availability for any meetings.

6. Support to the Consultant by the Bank

 The Project Coordinator will be supervised by the Senior Communications Officer (Editorial), and overall guidance of the Director General, Communications Department.  The Project Coordinator will work in close collaboration with relevant business units, project team leaders, external vendors and consultants.  The Creative Team will provide the Project Coordinator with all the data needed for the coordination of the Annual Report.

Qualification Requirement

 Bachelor’s degree in Communications or related discipline, or relevant experience  At least 5-7 years of experience in project management or producing publications and managing websites  Experience in developing and producing social media content, and other corporate products  Strong research and excellent writing skills in English; can edit and proofread in English  Understanding of AIIB and development issues; familiarity with the work of multilateral development banks  Knowledge of AIIB terms, language and style  Excellent organizational skills. Must be able to manage multiple deadlines while at the same time accommodating flexibility with regard to some shifts in deadlines due to fact checking and obtaining clearances from business units and external clients and monitoring the output of a number of external vendors.  Able to be flexible and respond to changes to the timeline as part of the review and feedback process  Strong interpersonal skills, able to communicate and work with diverse people  Participate effectively in team-based, information-sharing environment, collaborating and cooperating with others  Able to think outside the box and deliver results-oriented solutions.
