Organizational Setting
FAO Mongolia works with the vision "to be a leading, credible and responsive partner in ensuring food and nutrition security of the population". The office has been coordinating projects and programmes in research, capacity building, natural resources management, technology transfer, food and agriculture policy, livestock production systems management, emergency and post crisis management, forestry information, statistics, food security and nutrition, emergency response operations, crop production system management, and food quality and safety.
The project “Sustainable Ecosystem and Agriculture Management for Rural Development in Mongolia (STREAM )” aims to contribute to strengthening Mongolia’s green and digital transition efforts for inclusive and sustainable development.
The project is co-financed by the European Union and the Federal Ministry of Economic Cooperation and Development (BMZ) and is implemented by GIZ as the lead organization, with FAO as a partner. FAO is responsible for implementing the Agriculture and Land component.
FAO is currently seeking an Administration Specialist to manage the Agriculture and Land Component.
Reporting Lines
Under the overall supervision of the FAO Representative in Mongolia, and the direct supervision of the National Project Manager, and in close liaison with the AFAOR and communication, operational, and admin staff of the FAO Mongolia.
Technical Focus
• Safe and efficient transportation.
• Operates and maintains vehicles in good condition.
• Ensures compliance with traffic laws and organizational policies.
• Plans routes for efficiency and safety.
• Conducts basic vehicle checks (fuel, oil, tires, brakes).
• Maintains logbooks, mileage, and fuel consumption records.
Tasks and responsibilities
• Drive the project office staff and their official visitors on official trips
• Handle local and organizational formalities when involved in an accident; ensure that in this case all organizational and local/country rules, regulations and procedures are followed correctly
• Ensure cost-saving through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports
• Ensure proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc
• Ensure availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, map of the city/country, 1st aid kit, necessary spare parts
• Ensure timely distribution of mails and documents through accurate logs of distribution, documenting hand-to-hand delivery of mails and documents
• Complete regular training courses on communications, defensive driving, driving safety, advanced first aid and vehicle maintenance as organized by the FAO Representation
• Assist passengers as required within the FAO rules and regulations
• Report to FAO Representations any accidents or incidents involving vehicle or passengers immediately, including actions not within the FAO rules and regulations requested by staff, consultants or others
• Ensure that all immediate actions required by rules and regulations are taken in case of involvement in accidents
• Any other actions are required and appropriate to ensure the success of the project in consultation with supervisors
• Any other duties as required
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• Secondary school certificate and advanced degree would be an advantages
• A minimum of five years of relevant experience as a driver
• Working knowledge of English will be advantage
• Working knowledge of the official language of the country
• National of Mongolia.

• Proficient in operating different types of vehicles (manual & automatic).
• Knowledge of traffic laws, road safety regulations, and defensive driving techniques.
• Ability to perform basic vehicle maintenance (oil, tires, brakes, lights, fluids).
• Route planning and navigation (using maps, GPS, or apps like Google Maps).
• Vehicle log maintenance (mileage, fuel consumption, service records).
• Understanding of emergency procedures (first aid, breakdown handling).
• Time management\: ensuring punctual pick-ups and deliveries.
• Attention to detail\: checking travel documents, passenger lists, or cargo.
• Familiarity with road condition
