Job Overview:  Join IRC Poland as our HR & Operations Manager, where you'll lead Human Resources, Administration, and Operational support functions. This pivotal role ensures compliance with IRC policies, local labor laws, and donor requirements—while championing in staff wellbeing, operational effectiveness, and organizational alignment across IRC’s European offices.

Major Responsibilities:

Responsibilities include, but are not limited to:

Human Resources

  • Lead full employee lifecycle: recruitment, onboarding, contracts, and exits
  • Advise managers and staff on HR policies, performance, and labor law
  • Oversee payroll and coordinate with finance and external providers
  • Maintain HR systems (Workday, Integra) and ensure data accuracy
  • Drive wellbeing and duty of care initiatives
  • Support compensation and benefits in collaboration with Global HR
  • Contribute to regional/global HR projects and working groups

Administration & Office Management

  • Manage office operations: supplies, equipment, facilities
  • Ensure GDPR compliance and maintain employee records
  • Coordinate onboarding logistics (IT setup, workspace induction)
  • Organize internal events and staff communications
  • Act as focal point for safeguarding, health & safety, and building management

Procurement & Supply Chain

  • Lead procurement processes aligned with IRC and donor policies
  • Maintain vendor records and service agreements
  • Support operational planning for grants and program delivery
  • Collaborate with finance on cash forecasts and procurement plans

Job Requirements:

  • University degree in HR, Business Administration, Supply Chain, or related field
  • 5+ years in HR and/or operations, including 2+ years in a managerial role
  • Strong knowledge of Polish labor law and procurement standards
  • Experience with HRIS and ERP systems (Workday, Integra preferred)
  • Excellent organizational, communication, and problem-solving skills
  • Fluent in Polish and English

Working Environment:

  • This role is based in Warsaw or Wroclaw with a hybrid work model. We’re open to other locations in Poland, provided the successful candidate can be present in the office at least one day per week. Occasional travel to field sites or partner locations may be required.
  • You’ll work in a standard office environment with flexibility for remote work.

Compensation

This role offers a fixed monthly salary of 12'500 PLN gross, aligned with our internal compensation framework and the responsibilities of the role.
