Background:
The IRC’s External Relations team comprises colleagues and teams delivering marketing, fundraising, brand stewardship, and communications to support this work. As part of External Relations, the Mass Markets USA (MMUSA) program is responsible for raising $70+ million in unrestricted revenue annually in the U.S. market and plays a meaningful strategic role in the creation of the IRC’s brand, awareness, and support for its advocacy goals.
Job Overview:
The Associate Director, Production & Business Operations leads the Business Operations unit within MMUSA and reports to the Senior Director of MMUSA. This unit serves as the operational hub for omnichannel campaign execution across all donor retention and acquisition audiences—including Prospects, Standard, Sustainer, Bridge, Mid-level, and Planned Giving Marketing.
Functioning as the lead for the internal production agency for the MMUSA team, the Associate Director ensures high-quality, timely, and integrated delivery of fundraising campaigns across email, SMS, peer-to-peer texting, direct mail, telemarketing, donation forms, and more. This position supervises the Officer, Offline Production; the Senior Manager, Offline Production; and the Manager, Expense Budget roles and provides strategic leadership, workflow oversight, and process optimization across production streams. Once established, this role will also manage staff positions devoted to email production and donation form creation.
The Associate Director works in close partnership with audience strategists, analytics, creative, MarTech, channel leads, acquisition leads, and external vendors to maintain brand integrity, operational excellence, and strong campaign performance.
Key Responsibilities:
Campaign Execution & Production Oversight (35%)
- Direct all aspects of campaign production across channels, ensuring adherence to timelines, quality standards, and donor experience goals.
- Oversee trafficking of creative and data assets—including segmentation, art, copy, list pulls, and mail plan development—across internal teams and vendors.
- Lead cross-functional QA processes and post-launch troubleshooting to ensure seamless campaign delivery.
Team Leadership & Vendor Management (30%)
- Supervise and support the Officer, Offline Production, the Senior Manager, Offline Production, and the Manager, Expense Budget, maintaining a high-performing and detail-oriented production function.
- Manage vendor relationships across print, mailshop, telemarketing, SMS, and other channel partners.
- Lead onboarding and capacity-building efforts for internal staff and production vendors.
Strategic Workflow & Process Improvement (20%)
- Design and evolve SOPs, templates, and documentation to drive consistency and efficiency.
- Partner with analytics and MarTech teams to ensure proper data governance, segmentation logic, and campaign tracking.
- Streamline recurring workflows (e.g., NCOA processing, campaign member uploads, phone appends).
- Manage MMUSA's annual budgeting process in partnership with finance partner, and ensure expenses don't exceed budget during the fiscal year.
Cross-Functional Collaboration (10%)
- Serve as the operational bridge between strategy and execution teams, translating campaign plans into actionable workstreams across internal and external collaborators.
- Support agile response to emergencies and audience needs with rapid execution capabilities.
Innovation & Operational Excellence (5%)
- Champion continuous improvement, service-mindedness, and operational innovation across campaign production.
- Stay abreast of channel innovations, QA standards, and nonprofit best practices to inform team growth and executional excellence.
Job Requirements:
Education:
- Bachelor’s degree in communications, marketing, nonprofit management, liberl arts, or related field; or equivalent combination of education and experience.
Work Experience:
- Minimum 8 years of experience in multichannel fundraising or direct marketing campaign execution. Experience in at least two channels preferred.
- At least 2 years of experience managing production staff and leading cross-functional workflows across multiple channels.
Demonstrated Skills & Competencies:
- Advanced project management and prioritization skills.
- Deep understanding of creative and data trafficking, direct mail production, and digital fundraising tools.
- Skilled in vendor management and cross-departmental collaboration.
- Proficient in CRM and marketing platforms such as Salesforce, Springboard, Pardot, and Mobile Commons.
- Detail-oriented with a strong focus on quality assurance and operational rigor.
- Collaborative, solutions-oriented communicator and team leader.
- Deep commitment to the IRC’s mission and a passion for donor-centered fundraising.
Working Environment:
- This role requires working remotely full-time (i.e., telecommuting). Applicants must have a home or alternate workspace where they can effectively complete their work during regularly scheduled hours.
Compensation: (Pay Range: $105,000 - $115,000) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
