Context

Within UNAIDS, the Management Department include Finance, ICT and People Management functions. Aside the roll out of a new ERP system in 2024 (provided as a service by WHO to UNAIDS), UNAIDS is looking at simplifying its internal administative processes and setting up a project to achieve this objective.

The Communications and Digital Media Assistant will support the IT Department (DTS) in creating and disseminating informative content that promotes digital solutions, drives user engagement, and strengthens the visual identity of IT initiatives. This includes creating priority communications materials related to the modernization of the new ERP system (known as the Business Management System, or BMS),

The IT Communications and Digital Media Assistant will combine skills in communication strategy and multimedia design to ensure key messages are delivered clearly and creatively to staff, thereby improving awareness and adoption of the department’s projects and BMS components.

Task description

Under the supervision of the Digital Solutions Team Lead, the IT Communications and Digital Media Assistant will contribute to the successful implementation of IT initiatives and the BMS programme by supporting the following areas of work:

1. Communications:

• Develop and disseminate engaging and informative communication materials (e.g., newsletters, email announcements, intranet articles) related to IT initiatives and the BMS implementation.
• Create and update content for digital platforms (e.g., the intranet SharePoint site, internal social media such as Viva Engage/Yammer) to promote digital efforts, new IT solutions and policies, and the BMS programme components.
• Communicate updates on new digital tools, projects, and IT policies to end users, ensuring technical information is conveyed in clear, user-friendly language.
• Assist in the preparation of reports, presentations, and other documentation for internal stakeholders, summarizing IT initiative progress and highlighting success stories.

2. Digital Media Content Creation:

• Design and produce visual assets (infographics, banners, illustrations) for use in communications materials and campaigns, following organizational branding guidelines,
• Create and edit short videos or multimedia content (e.g., tutorials, promotional clips, interviews) to support communications efforts, using tools such as Google Veo, CapCut, or similar video editing software.
• Utilize graphic design and content creation software (e.g., Adobe Creative Suite – Photoshop, Illustrator; or Canva) to develop high-quality digital content that complements written communications.
• Maintain a library/repository of multimedia assets (graphics, images, video footage) for DTS, ensuring files are well-organized and accessible for future use.

3. Monitoring and Support:

• Track and report on the progress and impact of communication campaigns, digital engagement initiatives, and IT adoption activities (e.g., monitor intranet page views, email open rates, video engagement statistics).
• Support the planning and coordination of events or initiatives related to IT communications and the BMS rollout (such as informational webinars, town halls, or campaign launches), including preparing relevant materials and managing logistics as needed.
• Maintain up-to-date documentation of communication processes and schedules, such
as content calendars, contact lists, and feedback logs, to ensure continuity and effective knowledge management.
• Perform any other related duties as required by the supervisor to support the IT Department’s communication objectives.
