Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
Under the overall supervision of the Chief of Mission and direct supervision of Head of Liaison and Project Support Unit, and working collaboratively with colleagues across the UK Mission and wider Organization, the Senior Project Support Associate will support programme development, donor engagement, communications, and knowledge management processes at IOM UK.
Responsibilities
Under the supervision of the Head of Unit, lead on the implementation of assigned project support tasks and projects, helping to support the timely and effective delivery of PSU services.
Support the implementation of systems and technological tools designed to improve efficiency, effectiveness, collaboration and communication – including by developing advanced user skills and acting as a knowledge repository for colleagues.
Coordinate the delivery of trainings and work with colleagues across IOM UK to help build capacity on a variety of project development, implementation, monitoring and knowledge management issues.
Support organizational planning processes and the implementation of approved project support approaches and workplans, results frameworks and other documents as requested by the Head of Unit or Chief of Mission.
Contribute to programme development and delivery as appropriate by sourcing and compiling technical inputs, analyses, advice and recommendations, in line with IOM’s mandate and priorities.
Offer support to teams preparing funding proposals to help strengthen donor-facing output produced by individual units.
Work with the Head of Unit and with IOM UK teams to help support that grant agreements are in line with IOM policies and procedures, and that project managers are fully aware of donor requirements as well as financial and other compliance obligations.
Carry out research on donors, funding mechanisms and fundraising tools and help track new funding opportunities to support the organization’s resource mobilization efforts; and support the Head of Unit as needed and appropriate in her engagement with donors and other external stakeholders.
Liaise with regional, HQ and country level counterparts on a range of project support topics.
Coordinate with IOM programme teams to gather data, research, and insights to feed into policy notes and briefings.
Support the organization of meetings, events and other activities, including handling logistical arrangements and preparing relevant content.
Prepare correspondence, briefing notes, presentations etc. as requested.
Perform other related duties as assigned.
Qualifications
High school diploma with seven years of relevant professional experience; or,
Bachelor’s degree in International Relations, Development Studies or related field from an accredited academic institution with five years of relevant professional experience.
Experience in providing administrative, coordination, or substantive support in internal relations, public affairs, communications, or related areas.
Experience in supporting the implementation of projects, workplans and multi-stakeholder processes.
Experience in supporting meetings or engagement with internal and external stakeholders.
Experience in organizing and supporting events, including handling logistics and documentation.
Experience in drafting, formatting, and editing institutional documents and documentation.
Experience supporting fundraising, programme development, grant-related processes and partnership activities.
Experience supporting systems set up, change management and roll out of new organizational policies an advantage.
Experience working on migration, humanitarian or development issues is an advantage.
Prior experience working in the UN, NGOs or similar international organizations is desirable.
Lived experience of migration or displacement an advantage.
Strong drafting and communication skills with attention to accuracy and clarity.
Practical knowledge of project support processes, including use of planning and tracking applications.
Knowledge of government funding mechanisms is an advantage.
Good understanding of key due diligence and grant compliance issues.
Strong interpersonal and teamworking skills, with the ability to work effectively with colleagues and external stakeholders from diverse backgrounds.
High level of organization and professionalism with an ability to work independently and prioritise work to meet deadlines in a complex and fast changing environment.
