Programme and Quality Assurance Support Project Officer - Interim Support

Job Description
Scope of the post is to provide operational, administrative, and communications support to the QAAS, and to ensure the EUAA Academy’s Master’s programme and wider accredited learning are managed in a reliable, transparent, consistent and quality-assured manner—covering admissions administration, documentation control, students communications, costs reimbursements, coordination of internal quality processes, communication with member states representatives and support to external accreditation/quality assurance requirements.
Keys Responsibilities and Tasks
1) Support in the coordination of the Master’s degree programme, such as managing admission processes; onboarding of students and lecturers; scheduling of lectures, face-to face activities and assessment periods; liaising with lecturers, assessors, guest-lecturers and capstone project supervisors; monitoring progression points, and organising graduation activities.
2) Support in the administration of the documentation management system in line with internal QA requirements, including programme specifications, module descriptors, learning outcomes mapping, assessment strategy documents, version control and publication history, managing the workflow for plagiarism check through the dedicated software and maintaining record of submitted assignments, with the related anti-plagiarism report and the lecturers’ feedback.
3) Support in the coordination of routine programme governance including the Academic Board and sub-committees: including preparing agendas and meeting packs, drafting meeting minutes, action reporting for Academic Board and related sub-committees
4) Manage applicants and students communications, ensuring published information is consistent with the EUAA Academy’s admissions guidance and internal documents.
5) Support in the coordination for communicating issues relating to the Master’s programme(s): such as preparing FAQs, student notices, programme updates, admissions messaging, and information to Training National Contact points.
6) Support in the coordination of updates for the EUAA website/LMS/Academy pages and/or internal platforms where programme information is hosted.
7) Manage related functional mailboxes.
8) Support in the organisation of meetings, workshops, and visits connected to programme management and accreditation activities; with specific focus on invitations and reimbursements for students, lecturers, guest and visiting lecturers, supervisors.
9) Support in the organization of periodic meetings of the Training Advisory Group, both physical, and online: drafting and dispatching invitations, processing costs reimbursements, maintaining regular communications with TAG members, drafting meeting minutes and related reports.
Minimum qualifications and requirements
• Bachelor Degree
• Professional experience in training administration, quality management, public administration, project management, or similar.
• Demonstrable experience supporting higher education / accredited programmes, training academies, or regulated learning environments.
• Strong administrative coordination skills: complex calendars, multi-stakeholder workflows, document management, and meeting governance.
• Understanding of quality assurance frameworks in education/training (e.g., ESG-aligned environments), accreditation processes, or audit/evidence compilation.
• Familiarity with student record systems and data reporting.
Required skills/competencies
- Quality mindset: accuracy, traceability, evidence-based working, confidentiality.
- Excellent drafting skills (SOPs, minutes, guidance notes, emails, web content).
- Strong organisation and prioritisation; able to run multiple workflows in parallel.
- Stakeholder management
- Data literacy (Excel/Sheets, basic analytics, KPI reporting).
- Languages: strong English (written/spoken) level C1; other EU languages an asset

Non-resident rate: Non-Maltese employees who are moving to Malta for the purposes of employment will be subject to "Non-resident" tax rates for the first 183 days from arrival – these are higher than the standard rates. Once 183 days of residence are reached, income tax will be recalculated for the entire period of employment in the current year from arrival in Malta, and the tax will be adjusted to recover any overpaid tax. If the 183-day period extends into the following year, and 183 days of residence in Malta are not accumulated, the overpaid tax will need to be claimed back from the authorities with personal income tax return.
