About this position
We are looking for a proactive, collaborative & diligent Office Assistant. As Office Assistant, you will support the Climate Change Solutions Division (CSD/CCS) Chief with the execution of communications and administrative activities.
You will work for the Climate Change Solutions Division (“CSD/CCS”), which is part of the Climate Change and Sustainability Sector (“CSD”). This team is responsible for advising IDB management and developing policies, strategies, operational guidelines, and programs on issues relevant to the sector, as well as related areas. In addition, CSD carries out relevant sector research, analytical work, sector practices and case studies on climate change and sustainability. As a division of CSD, CSD/CCS provides support: (i) in the mainstreaming of climate change in the actions and operations of the IDB group and (ii) in the mainstreaming of climate change in the regional countries of the IDB group through support to the ministries of environment, planning, and economy and finance of the region. Both axes share the objective of strengthening climate policy at the subnational, national, and regional levels.
What you’ll do
- Provide overall administrative support to the Division Chief. Manage agenda and scheduling priorities (meetings, conferences and any other activities). Answer, screen and prioritize the Division Chief's communications and create draft responses to routine correspondence.
- Compile and provide in advance relevant materials to the Division Chief to ensure she is prepared to attend meetings and other events.
- Review all documents submitted for Division Chief's approval to ensure accuracy and completeness as per operational and administrative procedures.
- Make travel arrangements and hotel reservations, and prepare travel authorizations and statement of expenses using the applicable Bank systems.
- Assist in the preparation of presentation materials, meeting minutes, announcements and any other official documents and ensure these are properly filed for easy retrieval.
- Request authorizations for the participation of CCS staff members in external events in accordance with the provisions of Bank Policy AM-130.
- Support the coordination and execution of internal and external meetings, seminars, conferences and other events.
- Organize and maintain records and files using the applicable Bank procedure and systems.
- Manage, organize and update the division’s calendar.
- Provide administrative support to CCS staff members as needed.
What you'll need
Education: Bachelor's degree in Business Administration, Computer Science, Communications, or other fields relevant to the responsibilities of the role.
Experience: At least 2 years of progressive experience in office support related activities.
Languages: Proficiency in English and Spanish , spoken and written, is required. Additional knowledge of French and Portuguese is preferable.
