• Designing the functional system processes and system solutions to support OPERATIONS processes through the organization’s ERP (Microsoft Dynamics D365) and related administrative systems, while achieving efficiency, efficacy and adequate level of internal control and compliance through automated application controls and access rights.

• Ensures Full integration and impact analysis across the operations chapters and other chapters.

• In addition, allowing the establishment of adequate management reporting tools based on the ERP source data and based on the process owner’s and stakeholders’ information needs.

• As a MS D365 Functional Specialist, the incumbent will be responsible for coordinating new projects and interacting with the technology staff in charge to deal with the portfolio of issues and changes reported by the business users, including conducting application fit-gap analysis between current and desired situation and coordinate the design, development (with ERP team and/or external consultants) and end-user training and testing (guide the business process owners/users through the project life cycle):

• Coordinate Test core functionalities, new enhancements, and production defect resolution.

• Assist with project communications, scheduling, and logistics.

• Support business and end-user correspondence.

• Lead the preparation and updating of training materials

• Support and record change management related to technical requirements (submitted requests of change to the Change Advisory Body).

• Assist key users in testing new functionality, documenting and retaining ERP knowledge.

• Align user IT strategy and actions with the overall department strategy, ensuring a clear understanding of the principal’s (Department Head’s) objectives and priorities, and ensuring IT requirements reflect those goals.

• Secure the appropriate level of delegation to represent the department when articulating IT requirements and priorities.

• Translate business needs into clear, actionable technical requirements for ERP team, documenting and presenting them according to ERP & KMIT procedures.

• When necessary, prepare benefit statements for business cases related to functionality and/or change requests for applications.

• Serve as the focal point with ERP Team to consolidate and prioritize Improvement or Change Requests, as well as reporting and assigning the severity of Incident Reports.

• Act as a bridge between business and IT teams, clarifying questions and concerns.

• Facilitate workshops, interviews, and meetings to gather input from stakeholders within the department, ensuring their needs are well-represented and harmonized.

• For cross-departmental applications, collaborate with other BAs to harmonize requirements, resolve interdependencies, and negotiate KMIT priorities. This is especially relevant for business process modeling that spans multiple departments.

• Evaluate current business processes and recommend improvements or opportunities for automation.

• Brief and prepare his/her principal for Steering Committee sessions; the principal may decide on the BA’s participation as a backbencher.

• Develop user manuals, process guides, and training materials for end users, and coordinate training programs for department users.

• Lead testing teams to assess new functionality or changes to applications introduced by ERP Team.

• Assist in the creation of test cases or acceptance criteria for user testing.

• Coordinate and support user acceptance testing (UAT) to validate that solutions meet business needs and recommend the sign-off of the department principal.

Lead collaboration, from the Business Services, Finance, HR, and legal services side, with integration and data teams, and assist said teams to document integration, conversion requirements and designs in collaboration with the business analyst of each department.

• Develop and maintain relations between business process owners, business users, consultants and other stakeholders.

• Facilitate meetings among stakeholders, especially those from the Technology, Human Resources and Project Management units, as well as representatives from the Country Offices.

Primary point of contact to liaise with external service providers (consultants) engaged in project activities.

• Help develop innovative solutions to improve productivity based on overall business operations, in coordination with other relevant stakeholders (e.g. the Technology Unit).

• Conduct feasibility studies and cost-benefit analyses to assess the viability and potential, impact of proposed solutions, considering factors such as time, budget, resources, and technical feasibility.

• Contribute to reports design and production using the current functionalities provided by the ERP.

• Train ERP business users and provide continuous support to efficient operations by means of improved staff capacity. • Provide guidance to functional and operational support team on handling service requests, incident and problem management.

• Contribute to the design and/or re-design and implementation, re-implementation or revamp of the institutional Business Intelligence and reporting platform.

• Contribute to the design and/or re-design and implementation, re-implementation or revamp of the institutional common set-up that gives joint support to the Human Resources, Finance and Operations, Project Management, and Institutional Reporting functions.

• Assist in any ERP partial or full migrations to upgraded versions, changes in technologies, or current system improvements or revamps.

• Provide guidance to implementation team on various areas of the project such as but not limited to business intelligence & reporting, system integration, data migration and security strategies.

•  MS Dynamics 365 Finance & Operations module expert certification.

•  Master’s degree in Information Systems complemented with Accounting/Finance qualifications

•  Advanced knowledge of administrative and operating protocols and policies

•  Specialized expertise in Administrative and Finance processes, preferably in the non-profit sector

•  Excellent knowledge of D365 Finance and Operations common processes

•  Strong knowledge of institutional reporting requirements and activities

•  Expert-level experience in ERP functional design and handling change requests

•  Experience with scenario analyses in Finance & Operations to define and refine processes

•  Ability to apply ITIL/ISO20000 frameworks
