THE OPPORTUNITY
Reporting to the Chief Financial Officer (CFO), the Executive Assistant is responsible for providing executive-level administrative support to the CFO, in support of the Finance team's contribution to achieving the Foundation’s strategy and goals. You will work to build collaborative relationships with other functions in the Foundation and internal stakeholders.
WAYS YOU CAN CONTRIBUTE
Manage the CFO’s calendar and scheduling, including all regional and global activities, ensuring alignment with work plans, priorities, and deadlines. Serve as a strategic gatekeeper while ensuring access to the Finance leadership team.
Coordinate and support meetings end-to-end, including scheduling, room bookings, logistics, document preparation, agenda management, minute-taking, and timely distribution of materials and action items. Ensure effective follow-up and that the CFO is fully prepared for all engagements.
Manage complex global travel arrangements, in coordination with the travel team and office coordinator, including flights, accommodations, ground transportation, visas, and immunizations.
Prepare and process expense reports accurately and in compliance with organizational policies.
Draft and manage routine correspondence, proactively identifying communication needs. Monitor and manage the CFO’s email and correspondence with high attention to accuracy and confidentiality.
Liaise with the Public Affairs and Communications team to support functional communications and information flow.
Organize, maintain, and manage documentation and records for the Finance function, including reports, databases, shared drives, and SharePoint sites.
Build and sustain effective working relationships with internal staff, external stakeholders, and the public on behalf of the CFO’s Office.
Provide administrative support to budgeting, forecasting, and financial management processes, in line with organizational policies and procedures.
Provide backup support to other executive administrators, as required.
WHO YOU ARE
A college diploma or university degree is required.
Minimum 3–5 years of experience in an Administrative Assistant role in a fast-paced, global environment.
Strong prioritization, time management, and ability to work independently while managing multiple projects.
Excellent interpersonal skills, with professionalism and grace under pressure.
Excellent written and verbal communication skills in English, with the ability to communicate in Kiswahili.
Proficient in MS Office applications (PowerPoint, Word, Excel, Office 365 and SharePoint).
Highly detail-oriented with a proven ability to consistently produce high-quality work.
Able to work independently with little direction or supervision and possess the ability to coordinate and manage multiple projects.
Possess professional maturity, sensitivity with different cultures, and impeccable integrity that exemplifies the Foundation’s values.
