Organizational Setting

The Food and Agriculture Organization of the United Nations (FAO) works with Member Countries to achieve food security, reduce hunger and malnutrition, and promote sustainable and resilient agrifood systems. FAO provides technical assistance and policy support to strengthen national capacities and advance the 2030 Agenda.

Within FAO, the Emergency Centre for Transboundary Animal Diseases (ECTAD) supports countries in preventing, detecting and responding to high-impact animal health threats, zoonoses, and antimicrobial resistance (AMR), through strengthened preparedness, surveillance, and One Health collaboration.

In Bangladesh, FAO ECTAD works closely with government counterparts and development partners to support effective programme delivery, operational compliance, and evidence-based planning.

Reporting Lines

Under the overall supervision of the FAO Representative (FAOR) in Bangladesh, the technical supervision of the Technical Advisor, and the direct supervision of the International Operations Specialist, the Assistant Administrative and Logistics Specialist will work in close coordination with the ECTAD Programme team and FAO Country Office units to ensure smooth administrative, logistical, and operational services.

Technical Focus

The Administrative and Logistics Support Specialist (SC7) will provide day-to-day administrative, logistics, asset, fleet, and operational support to the ECTAD Programme. The role focuses on ensuring effective office management, vendor coordination, vehicle and asset oversight, premises security, and logistical readiness for programme implementation.

Tasks and Responsibilities

The incumbent will undertake the following duties\:
• Provide day-to-day administrative management of the ECTAD Programme Unit and serve as a focal point for liaison with government counterparts and service providers.
• Provide recommendations to management on operational policies, procedures, and administrative objectives.
• Oversee office supplies, equipment, vendor relations, and ensure proper management and distribution of stationery and resources.
• Manage and control warehouse goods movement, inventory systems, and related documentation.
• Support import procedures and customs clearance processes as required.
• Serve as focal point for IT-related issues, coordinating troubleshooting and resolution with FAO Country Office IT teams.
• Draft correspondence, memoranda, and reports related to administrative and logistical matters.
• Support onboarding of new staff, including travel arrangements and visa application assistance.
• Coordinate vehicle rentals for project activities and ensure adequate logistical support for field movement planning.
• Ensure regular vehicle maintenance and compliance, guaranteeing that all vehicles are roadworthy, operational, and serviced through preventive measures.
• Comply with local regulations and oversee fuel, speed monitoring, and health and safety measures for fleet operations.
• Monitor fuel card usage, maintain fuel records, and oversee completion of vehicle logbooks by drivers.
• Supervise office messengers and drivers, manage driver rosters, and support documentation such as insurance claims and travel expense records.
• Maintain accurate and up-to-date records of office assets, ensuring proper upkeep, timely repair, and identification of assets requiring replacement.
• Manage the secure disposal of obsolete assets in coordination with Country Office focal points.
• Ensure premises security and supervise security guards.
• Support petty cash management and related administrative processes.
• Perform any other relevant duties as assigned.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

• Advanced university degree in business administration, accounting, public management, or a discipline relevant to FAO’s mandate.
• At least seven (7) years of related professional experience in field programme administration, logistics, and management.
• Working knowledge of English.
• National of Bangladesh.
