Position Objective
The overall mission of the Events Management and Travel Unit (EMTU) in the Department of Corporate Services (DCS) is to provide efficient operational arrangements that enable dialogue and cooperation between GCF and its stakeholders and counterparts, hence contributing to the successful progress of engagements and the realization of the strategic objectives of GCF. The key objective of EMTU’s work is to ensure that all GCF events and corporate travel are supported through fit-for-purpose and progressive services, which are implemented effectively and efficiently to enable a seamless delivery of GCF’s mandate.

Travel Associate, reporting to the Events Management Specialist (head of EMTU), is responsible for ensuring effectiveness and efficiency in the delivery of corporate travel, with high-quality and accuracy of work in order to provide optimum services and increase stakeholder satisfaction across the organization.

  • Reviews and assesses travel requests and processes travel authorizations, applying and interpreting the GCF travel policy framework across a wide range of complex and non-standard cases, ensuring compliance while exercising sound judgement.
  • Facilitates optimal delivery of corporate travel services by acting as the focal point with the Travel Management Company (TMC), ensuring its services are aligned with GCF’s current requirements and adapting service delivery to evolving and diverse operational needs.
  • Actively contributes to the review and refinement of the travel policy, procedures and related guidelines, interpreting their application across varied scenarios and recommending enhancements to address operational complexity and institutional requirements.
  • Analyzes travel data and supports travel forecasting and cost baseline development, interpreting trends and variances to provide insights that inform planning and decision making.
  • Engages with internal and external stakeholders to promote greater awareness and understanding of the Fund’s travel policy framework, clarifying complex requirements and ensuring consistent interpretation across diverse use cases.
  • Acts as a key point of contact for individual travelers, providing guidance on complex or non-routine travel scenarios, resolving issues, and advising on policy interpretation and specific arrangements.
  • Contributes to the identification, design, testing and implementation of any changes and enhancements to the travel administrative systems and applications, ensuring they effectively support varied and complex workflows.
  • Supports organization-wide travel forecasting and facilitates a clear understanding of workflows, ensuring consistent documentation and analysis of user feedback to improve processes.
  • Supports the coordination of arrangements for delegation travel, providing guidance and directly supports complex, multi-destination or high-sensitivity travel arrangements for delegations or GCF events.
  • Facilitates the processing of travel arrangements for funded participants of GCF events, ensuring adherence to diverse procedural requirements and exceptions.
  • Liaises with the Finance team on the administration of expense processing related to corporate travel, including complex cases involving adjustments, reallocations, and reconciliations.
  • Ensures alignment with the General Services Team as it relates to the Travelers’ Health, Safety and Security considerations across different contexts and risk environments.
  • Identifies process gaps and inconsistencies and recommends practical improvements to enhance efficiency, compliance and user experience.
  • Performs other related duties as required.

Requirements (Education, experience, technical competencies required of the job)

  • Advanced University degree (master’s degree) in management/administration, travel management, tourism, hospitality, international relations, or a related field is required, bachelor’s degree in lieu of 2 years of experience.
  • A minimum of 3 years of progressively responsible experience in corporate travel management or related operations within a complex international or public sector organization.
  • Demonstrated international experience, including in combination of corporate travel and events management, is an added advantage.
  • Hands-on experience with ERP systems (Oracle, SAP or similar), data analysis, travel forecasting and cost optimization, with the ability to generate insights and inform strategic decision-making.
  • Excellent communication, persuasion, and vendor relations management skills.
  • Ability to work under pressure, under strict timelines, demonstrating complex problem-solving skills.
  • Fluency in English is essential; knowledge of Korean and another United Nations language is an advantage.
  • Demonstrated skills in collaboration, problem-solving to achieve goals and comfortable working in matrix organization.
  • Flexibility to work outside of the regular working hours is required for this position.
