Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations.
DRC has been operating in Ukraine since 2014, currently DRC employs over 800 staff in Ukraine and implements emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.
DRC is currently looking for an Administration Assistant in Mykolaiv.
Overall Purpose of the Role:
The Administration Assistant provides support for the daily functioning of the office and the implementation of DRC programmes in the Southern region, specifically in the Mykolaiv office and its area of responsibility. The role reports to the HR and Administration Team Leader and collaborates closely with the support team and programme staff to ensure the timely completion of administrative tasks and to provide necessary support to other teams within the designated area of responsibility.
Your main duties and responsibilities will be:
- Manage tasks related to real estate rental, including the preparation of lease agreements with landlords and the resolution of issues concerning office premises and guest accommodations.
- Provide support to international staff with visa applications, temporary residence permits, and registration processes.
- Deliver administrative support to programme staff in relation to travel arrangements, including booking tickets and accommodation, and ensuring proper documentation and reporting.
- Collaborate effectively with Finance, Logistics, and Programme departments to ensure the timely procurement of required materials and services.
- Assist in the organisation of events (e.g. workshops, meetings, etc.).
- Manage the administration warehouse to ensure the availability and proper distribution of administrative consumables.
- Monitor compliance with the organisation’s Code of Conduct, as well as internal and donor policies and procedures related to procurement, ensuring the prevention of conflicts of interest.
- Perform other administrative duties as assigned by the line manager.
About you
To be successful in this role we expect you to have minimum 1 year of working experience in Administration, Supply Chain or any other relevant field, experience in NGO will be an advantage. Moreover, we also expect the following:
Required
- Good knowledge of Microsoft Office applications (e.g. Excel and Word); experience working with ERP systems is considered an asset.
- Demonstrated cultural sensitivity and the ability to work effectively in a cross-cultural environment.
- Intermediate level of English proficiency or higher.
- Fluency in Ukrainian.
