1. About the Role
The Grants Management Team within the Grants Management Department processes country applications, translates them into grant agreements and service contracts, supports implementation, ensures closure, manages the Grant Management System (GMS) and financial system (SAP) data, and monitors risks pragmatically. As a client-oriented team focused on country-facing teams and our in-country partners, we drive efficiency and continuous improvement to enable a smooth grant cycle where applications anticipate contracting, contracting enables implementation, and clear metrics ensure accountability throughout.
Grant Coordinators (GCs) are essential to the smooth delivery of Gaviâs grant operations. They focus on executing core tasks across the grant life cycle, ensuring contracts and agreements are processed accurately, data is maintained, and deadlines are met. GCs adapt to workload needs by stepping in where required, providing the operational backbone and support to country teams that enables efficiency, compliance, and impact. They are the direct interface within the Gavi Secretariat between the GMD and the Country Teams.
2. Key Responsibilities

Support application review and grant making by providing grants management support and operational assistance from application review through agreement finalisation across Gavi funding levers, instruments, and partner categories. This includes supporting IRC and Go Group reviews, facilitating partner selection steps, preparing agreements based on established templates, and assisting with due diligence, negotiation, registration, and archiving.

Assist grant implementation and monitoring by working with country-facing teams to track financial and programmatic milestones, prepare disbursement packages, process budget transfers and goods receipts, ensure data accuracy, manage purchase requests in the financial system, and maintain timely updates in the Grant Management System (GMS).

Contribute to timely grant closure by checking required milestones, processing final disbursements, and completing documentation for audit compliance.

Enable operational excellence by identifying and flagging system and process issues, providing feedback from country-facing teams and partners, diligently updating Zycus, SAP and the GMS, and supporting audits with required documentation.
This description is not exhaustive and is expected to evolve in 2026. As part of the Grants Management Team within GMD, the role contributes to ensuring a smooth, integrated grant cycle and may support other GMD sub-teams as needed based on operational priorities. Expected changes in staffing and the evolution of the GMD mandate will adjust the specifics of the GC role. Comfort with, and participation in, this adaptation will be essential for the GCs.
3.Your Experience and Skills
- 3+ years working with complex systems and processes in fast-paced environments.
- Proven adaptability to multi-country or international organizational settings.
- Experience with SAP or major ERP systems; familiarity with Salesforce, SAC, or other data platforms.
- Experience in project and/or programme implementation in Gavi eligible countries is considered an asset
Education and qualifications:
- University degree in business administration, public health, international relations, economics, or related field.
Technical and functional skills:
- Strong contracts management and administrative capability
- Excellent data management and reporting skills
- Strong organisational skillsâmultitasking, tracking, and follow-through
- Clear communication, able to liaise across stakeholders and ensure transactional clarity
- Familiarity with grant management lifecycle operations
- Proficiency in SAP and ERP-based workflows and knowledge of Salesforce or SAC for data tracking/reporting highly desirable
Languages needed
- Required: Fluency in English and French
- Strongly preferred: Portuguese and/or Spanish will be considered a strong asset
