Organizational Setting and Reporting Relationship

The position of Senior Audit Assistant is assigned in the Office of the Auditor General (OAG). You will be based at our Headquarters in Manila, Philippines.

You will report to the designated International Staff and senior officer.


Your Role

As a Senior Audit Assistant, you will provide administrative and operational support services for OAG teams, collect and consolidate information across teams for analytical purposes, and coordinate matters relating to different team activities.


You will:

  • Prepare, format, proofread, and submit correspondence and documents for supervisors on time, in compliance with ADB standards and the Handbook on Style and Usage.
  • Coordinate administrative workflows, document circulation, and information flow across digital platforms.
  • Manage supervisors' schedules, including coordinating with clients, holding meetings, and relaying instructions to concerned staff.
  • Coordinate division/office/department meetings and activities, including meeting arrangements and follow‑through with concerned staff.
  • Manage office filing systems, including retrieval and archiving of physical and electronic records following ADB procedures.
  • Maintain SharePoint folders and documentation repositories and help prepare materials for meetings.
  • Collect, analyze, and extract data from ADB systems and databases to support OAG biannual, ad hoc, and audit‑related reports.
  • Maintain OAG electronic databases by ensuring accurate data entry, efficient retrieval, and reporting readiness.
  • Support audit activities by gathering information, preparing supporting documents, querying systems, and assisting with basic audit procedures, data analysis, and documentation of results.
  • Coordinate mission travel arrangements, bookings, processing, and collaborate with Front Office on budget monitoring.
  • Provide back‑up support to other assistants in the latter's absence.
  • Perform other administrative tasks reflected in your workplan.

Qualifications

You will need:

  • Bachelor's degree in business administration or related field, with auditing and accounting subjects is preferred;
  • At least 5 years' work experience in secretarial and coordination work;
  • Proficiency in computer-based applications (e.g., Microsoft Suite)
  • Working knowledge in maintaining and administering databases and other information systems;
  • Written and verbal proficiency in English, including good memo composition, editing, and proofreading skills;
  • Demonstrated capability to strict adherence to managing sensitive information;
  • Demonstrated capability to manage priorities and workload independently within general schedule of work, instructions, and standardized practices;
  • Capability to exercise judgment on matters requiring urgent attention;
  • Demonstrated capability to coordinate tasks among administrative assistants and liaise within the work location.
  • Experience contributing as a constructive team member and collaborating with colleagues from diverse cultural/national backgrounds.
  • Experience with the role and function of the division/office/department, or similar functions in a multilateral development bank, and a good general understanding of its mandate and purpose;

Additional Information

This appointment is open to internal and external applicants.

This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No. 2.01 (Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
