–PROPOSAL TEAMS

About the position
The Proposal and Pipeline Management Office (PPMO) is
seeking a motivated Intern / Job Trainee to support its day-to-day operations.
The position offers hands-on exposure to how an international research
organization identifies funding opportunities, tracks its project pipeline, and
manages resource-mobilization information, a strong entry point for anyone
interested in international development, research management, or resource
mobilization.
The Intern will jointly report and work under the
guidance of the Associate Team Leader, Proposal Administration Team, and the
Senior Analyst, Pipeline & Reporting function. The role combines
data-oriented pipeline support, call scouting support, and general
administrative proposal support.
The position will be based at Nairobi.
Main responsibilities
1. Administrative
Support
Support efforts to secure the financial resources required for the
Alliance to fulfill its mission.Support the Proposal Development Process (PDP).
Provide administrative support during proposal submission and follow-up.
Enter proposal information into the institutional database (Agresso).
Ensure that relevant policies and procedures are appropriately reflected
in proposals before submission.Work closely with different units across the organization
2. Pipeline
Support
Data entry and revision: Enter and update proposal and funding data in
the pipeline and tracking systems, checking entries for accuracy, consistency
and completeness.Reporting: Support the preparation of regular pipeline and resource
mobilization reports and dashboards by compiling, validating, and formatting
data from multiple sources, under the guidance and oversight of the Pipeline
responsible.Data quality: Flag gaps, inconsistencies or outdated records to the
Pipeline & Reporting team and support periodic data-cleaning exercises.
3 3. Call
Scouting Support
Funding opportunity research: Carry out desk research to identify calls
for proposals and funding opportunities relevant to the Alliance's research
areas and strategic priorities.Analysis: Support the analysis of identified calls (funder priorities,
eligibility, indicative timelines) and help prepare short briefs or summaries
for the team and for Research Areas.Monitoring: Help keep the funding-opportunity tracker and funder
information up to date, under the guidance of the officer(s) acting as
call-scouting focal points.
4. Unit
Administration and Knowledge Management Support
Support the Proposal Development Process (PDP): ensuring that proposals
are aligned with the Alliance standardsProvide administrative support during proposal submission and follow-up:
Support the coordination of administrative and procedural steps required for
proposal submission, including document collection, internal checks,
coordination with relevant teams, and follow-up on outstanding actions and
submission requirements.Support the management of the internal coordination tools: Help maintain
and update internal tools used to coordinate proposal development, ensuring
that information is accurate, complete, and regularly updated to support
effective team coordination and reporting.
Education and Requirements
Bachelor’s degree in business administration, Economics, International
Development, or a related field.Proficiency in Microsoft Office applications.
Excellent English communication skills, both verbal and written,
including the ability to draft clear and effective communications.

Terms of employment
This is a
nationally recruited position based in Nairobi, Kenya. The initial contract
will be for up to Six (6) Month,
subject to a probation period according to local legislation, and is renewable depending on the
performance and availability of resources.
