Background
The Green Climate Fund (GCF)—a critical element of the historic Paris Agreement—is the world’s largest climate fund mandated to support low-emission, climate-resilient development pathways. As an operating entity of the financial mechanism of the United Nations Framework Convention on Climate Change (UNFCCC), GCF contributes to the goal of keeping an average global temperature rise well below two degrees Celsius.
The Fund seeks to engage an Operations Assistant Consultant as paternity leave to join its team at the headquarters in Songdo, Republic of Korea, for the initial 120 days over a 6-month period.
Role
The position provides overall administrative support to the Department of Monitoring, Evaluation and Learning (DMEL) and interacts with staff members across the organization in the discharge of the post functions. The Operations Assistant Consultant reports to the Director of the Department and provides support to the Director to allow him/her to fully function in their role. The incumbent provides organizational and institutional compliance guidance, advice and recommendations to the Department and on behalf of the Director for practical delivery of core work, internal/external processes.
Duties and responsibilities
- Provide general administrative support to the Department of Monitoring, Evaluation and Learning to ensure its effective coordination and functioning by overseeing budget, procurement activities, staffing, general services, facilities etc.
- Act as Focal Point for procurement (Using Oracle ERP) and process payment requests for Professional Services contracts under DMEL
- A gatekeeper, ensuring the Director's involvement in projects or decision-making process at the right moment.
- Manage the DMEL SharePoint site and teams channel. This includes data and document management as well as support for internal communications. For project and task management, you will provide support in Asana and SharePoint.
- Facilitate the engagement of DMEL staff members in team retreats, internal working groups, etc. and maintain records of relevant outcomes, as appropriate.
- Process support materials and assist the logistical planning of internal and external meetings
- Meeting preparation, coordination, summary and follow up: review upcoming meetings, including sending out agendas or documents to meeting attendees, as necessary.
- Ensure alignment of DMEL’s administrative operations with overall Fund policies and procedures. Coordinate closely with other departments as necessary
- Support compiling inputs into development of annual divisional work programme and budget and track performance vis-a-vis divisional KPIs and budget utilization
- Deliver administrative help that is vital to meeting deadlines and completing projects on time. Oversee deadlines and remind colleagues as necessary to ensure delivery on time.
- Prepare briefs, analysis and presentations as requested by the Director.
Required experience and qualifications.
- Bachelor’s or Master’s degree with two (2) to three (3) years of relevant work experience or equivalent combination of relevant education and experience.
- Formal training in administrative and/or operational services desirable.
- Strong proficiency in Microsoft office suite (Word, PPT, Excel, SharePoint) required. Experience in using Asana as well as other Microsoft office apps is a strong plus
- Excellent writing skills and particularly in minute taking, formal correspondences, letters, and electronic communication with external stakeholders. Experience in project management is an added advantage.
- Proficiency in filing, record management and data tracking. Experience in working with databases is highly desirable; Ability to use PowerBI is an advantage.
- Strong ability to organize work, set priorities, meet critical deadlines, and follow up on assignments with minimum direction.
- Ability to work with high volumes of work under high pressure with a high level of accuracy.
- Strong teamwork and interpersonal skills, and highly developed cultural sensitivity and tact in communicating with all levels of staff and external clients.
- Fluency in written and spoken English is essential; knowledge of local language and/or another United Nations language is an advantage.
