Operations Assistant / Procurement - interim support

Location: EUAA HQ, Malta.

Tentative start date: 03/02/2025, with a probationary period of 6 months.

Salary Category III - Gross monthly: 3,133.42 Euros.

Department: C1/OTAU/Cluster1 AdminTeam.

Job Description

The Operations Assistant / Procurement - interim support will be working in the Cluster1 AdminTeam and support procurement activities in the EUAA country operations. 

Responsibilities

  • Support relevant officers in managing calls for tenders and procurement procedures for both administrative and operational procurements in line with standard best practices.
  • Contribute to activities of market analysis, request quotations and/or preparation of invitation-of-bid forms to suppliers
  • Prepare supporting documents and ensure compliance with procurement rules and regulations
  • Prepare purchase orders or contracts and support preparing and processing all financial transactions, such as commitments, payments, procurement orders, missions and reimbursement claims as needed
  • Process related payments as needed
  • Support monitoring contractor performance
  • Support coordinating procurement requests, ensuring timely submission and verifying all requests are reviewed and approved as needed
  • Screening and filing emails and correspondence regarding the related area/s of activities and managing correspondence, documents filing and archiving
  • Draft documents, templates and reports and maintain internal tools and databases
  • Perform any other duty required in the interest of the service.

Minimum requirements

  • A secondary education attested by a diploma giving access to post-secondary education and appropriate professional experience.
  • Previous professional experience in similar tasks of at least 2 years;
  • Proven professional experience in drafting templates, documents and reports;
  • Thorough Knowledge of English (level C1 in all dimensions as per the Common European Framework of Reference for Languages or CEFRL)
  • Computer literacy, including MS Office Suite, use of internet and web-based applications.

Advantageous

  • Proven experience in a multinational work environment
