The Scope
We are looking for an engaged Administrative Assistant who brings solid expertise and a passion for FSC’s mission, to work with us in a multinational environment.
 
The EUDR project is at the forefront of joint multinational efforts to combat deforestation and forest degradation, making a tangible impact on environmental sustainability. By joining our team, you will play an important role in implementing this groundbreaking EU Regulation, helping to protect forests and promote responsible trade practices. Main Roles & Responsibilities
  • Maintain and update project documentation, ensuring all files are current and accessible to the team, regularly collect and manage data. Keep track of comments notes, access permissions within document structure. Manage approval processes making sure decisions are taken timely.
  • Monitor project budgets, including tracking expenses and preparing financial reports for internal stakeholders.
  • Participate in team meetings, take notes and minutes. Prepare regular status reports and updates for the project manager and stakeholders.
  • Organize meeting rooms, communicate with participants, arrange travel logistics for team members, schedule events, and support the meeting logistics.
  • Coordinate online events including preparation of run through documents, aligning with speakers, manage links and chats, organize internal rehearsals.
  • Assist the project manager and wider project team with various administrative tasks requiring precision and attention to details.
  • Perform other tasks as agreed with the supervisor, such as preparing, submitting, and filing invoices, or conducting research activities.
Your profile
Education and Training: 
  • University degree or equivalent training or experience in a relevant field, for example, Business Administration, Relationship Management or similar
 
Working Experience, Style, and Skills: 
  • At least 2 years of professional experience in administrative support and events organization
  • Ability to perform well while handling simultaneously a number of administrative and support functions.
  • Solutions and service-oriented attitude to work.
  • Experience with financial administration/management.
  • Administration skills.
  • Proven ability to plan and organize work.
  • A strong sense for diligence and accuracy.
  • Strong analytical and problem-solving skills.
  • Ability to facilitate interactive discussions.
 
Language & Communication Skills:
  • Exemplary verbal and written communication skills that contribute to cohesive team efforts and decision making.
  • Fluency in English (spoken and written).
 
 
Digital Skills – good skills in the use of/experience with:
  • Standard software packages (MS Office).
 
Others:
  • Experience in working in a multi-cultural, multi-lingual, global team.
  • Commitment to FSC’s mission and values. 
  • Demonstrated cultural awareness and sensitivity to the diversity of values, views, and approaches to issues relevant to the FSC program by stakeholders around the world.
  • Basic understanding of the scope of FSC’s programs and activities.

The Fine Print
  • Location: Bonn, Germany.
  • Working Hours: Full time - 40 hours per week.
  • Duration of Employment: 1-year Temporary contract (extension possible, subject to satisfactory performance).
  • Starting Date: As soon as possible.
  • Travel: Sporadic travel is required.
