Context
The International Institute for Democracy and Electoral Assistance (International IDEA) is an intergovernmental organization that advances democracy worldwide, as a universal human aspiration and an enabler of sustainable development, through support to the building, strengthening and safeguarding of democratic political institutions and processes at all levels. It is based in Stockholm, Sweden, and has offices in Africa, Asia, Latin America, North America, and Europe.
Based on the new institutional strategy, we implement six workstreams: Electoral processes; Constitution building processes; Political participation and representation; Climate change and democracy; Digitalization and democracy; and Democracy assessments (including the analysis of the global state of democracy). We also address Gender Equality and Inclusion and Money in Politics as they relate to democracy.
International IDEA will implement a project that aims to enhance voter education/information, and civil society’s capacities on electoral matters. Specifically, the project will seek to build the capacity of CSOs, social movements, and the overall citizenry, to participate in electoral processes and have a sound strategy to demand accountability from the main electoral actors. Additionally, the project will convene dialogues and efforts to reach an ethics agreement or code of conduct among political parties to address misinformation and online violence.
The Programme Assistant will provide programmatic, administrative and logistical support, coordinate events, and assist with the preparation of documents and other related support in accordance with the project needs and requirements, ensuring adherence to International IDEA and donor policies and procedures. The Programme Assistant will also contribute to the monitoring and evaluation and communications and visibility of the project as defined by International IDEA’s framework.
Duties and Responsibilities
1. Supports the effective planning and implementation of the project by providing programme and administrative support;
2. Ensures effective organization of activities including events, in coordination with the Programme Manager. Ensures all administrative and logistical processes are implemented in a timely manner and in conformity with International IDEA and donor policies and procedures;
3. Organizes and coordinates meetings, events and workshops (including costing and booking venues, liaising with attendees, organizing travel, etc.); Assists with the preparation of meeting materials and follow-up documents;
4. In coordination with the relevant Programme Manager, monitors and tracks the project implementation time-plan and calendar of key events, assists with the preparation of documents and maintains records and files for project reporting and documentation;
5. Supports procurement processes in accordance with donor and organizational policies and procedures; obtains quotes, drafts and monitors contracts and agreements and liaises with service providers/partner organizations;
6. Develops and maintains a database of key actors and stakeholders for the programme; Maintains a filing system for relevant programme documentation;
7. Conducts research, supports the drafting of articles and contributes to the drafting of project narrative reports; provides;
8. Contributes to the monitoring and evaluation of the project.
9. Supports the programme’s communication and visibility plan by contributing to knowledge production including drafting news articles, programme updates and information briefs.

Education and Experience
- High School diploma and preferably project management education; University background in political science, law, sociology, international relations or other related discipline is considered an advantage;
- Minimum three (3) years of relevant professional experience (including substantial internships) working in a similar role, preferably in the field of democracy, governance, and electoral processes;
- Experience engaging with stakeholders including government, UN, NGO\s and other organizations considered an advantage;
- Experience of working in an international context, e.g. in an intergovernmental organization, considered an advantage.
Terms of Contract:
- Local Post.
- Fixed term appointment until 31 December 2025
- Remuneration - GYD 262,250 Gross per month
Please note as this is a local post, International IDEA will bear no costs relating to the relocation of the selected candidate to the duty station. This position is open to those legally authorized to live and work in Guyana for the duration of the contract. International IDEA is not able to support work permit applications.
