Organizational Setting and Reporting Relationship

The position of Principal Corporate Services Specialist is assigned under the Office of the Director General (CSOD) within the Corporate Services Department (CSD) and outposted in Thailand Resident Mission within the Southeast Asia Department in Bangkok.

You will report to the Director General, CSD and will have matrix reporting to the Country Director, TRM. You will oversee Junior team members.

Your Role

As a Principal Corporate Services Specialist, you will lead the corporate services operations at the Thailand Resident Mission (TRM). This role is critical to ensure the efficient administration of the mission, encompassing areas such as field office support, business continuity program, crisis management, logistics, and facilities management. You will work with CSD senior management to develop and implement strategies that support the CSD's goals and enhance organizational performance.

You will:

  • Oversee corporate institutional services to ensure seamless global delivery. Identify process improvements to improve service efficiency and understanding of organizational goals.
  • In close collaboration with Country Directors and Finance & Administrative Teams, provide high-level support and strategic advice on global institutional services. Ensure service quality, operational consistency, and adherence to best practices.
  • Ensure TRM is prepared as ADB's backup Resilience Center for extended HQ disruptions and establish business continuity activation procedures, automatic triggers, and delegations of authority for resources based in the Resilience Center.
  • Manage the activation of business continuity plans for offshore teams and represent the Business Continuity Core Group (BCCG) with updates to the Crisis Management Team.
  • Oversee the participation of offshore business continuity teams in annual BC activation exercises.
  • Implement Standard Operating Procedures (SOPs) for activating ADB's Crisis Management System between HQ and TRM and establish emergency communication channels.
  • Participate as a member of the ADB Headquarters Crisis Management Team (CMT), in managing Command and Control at TRM during crises, and perform the responsibilities of the Chair of the CMT for the designated Resilience Center.
  • Oversee emergency procedures such as relocation/evacuation, medical response, search and rescue, and coordination with the Philippine government, serving as the primary liaison between TRM and ADB's CMT at HQ.
  • Coach and guide staff and consultants to achieve the goals for the back-up site.
  • Oversee the performance of reporting staff and consultants, providing clear direction and regular monitoring and feedback on performance.
  • Provide mentoring to team members and ensure their ongoing learning and development.

Qualifications

You will need:

  • Master's degree in business administration, or equivalent, in disaster management, emergency planning, risk management, or relevant fields. or a university degree in related fields and at least 5 years specialized experience relevant to the position can be considered.
  • At least 12 years of relevant professional experience.
  • International experience working in several countries.
  • Experience developing emergency planning, business continuity and crisis management plans for large organizations and international institutions.
  • Experience managing global corporate institutional services across diverse markets.
  • Demonstrated analytical and collaborative skills, with the ability to work well with all types of internal and external clients.
  • Excellent command in written and verbal communication in English.
