Under the supervision of the Senior HR Officer, the North Human Resource Assistant is responsible for providing support to the various human resource functions across the North of Iraq Country Program. This includes processing and maintaining HR records, obtaining signatures on contracts, archiving, and following up on paperwork for all field offices. The North HR Assistant will be required to travel between offices in North Iraq to ensure consistency in HR operations.

Major Responsibilities:

·Manage and monitor the attendance, absence, leave, and tardiness records of employees for north field offices, including biometric time-clock data.

·Oversee staff timesheets and leave tracking for north locations across Iraq, ensuring accuracy and timely submission.

·Maintain and manage personnel records and employee information for all field offices, ensuring up-to-date and accurate records.

·Produce, coordinate, and monitor contract renewals and changes for all staff. Obtain necessary signatures on contracts and handle all staff-related entry and exit documentation during hiring and offboarding.

·Ensure proper archiving of HR documents for north locations, following up on the completion and organization of paperwork from all field offices.

·Update and track emergency contacts and disclosure forms for all regular and service staff, ensuring records are complete and current.

·Process staff identity cards and business cards for employees across the country.

·Follow up with supervisors on probation periods for newly hired employees, managing the probation tracking sheet for all staff.

·Address and follow up on employee requests, ensuring timely communication and action.

·Submit monthly reports as required by the HR team.

·Provide HR support and follow up on any required paperwork or documentation for north field offices across Iraq.

·Support the Senior HR Officer in recruitment-related tasks for the north field offices, including scheduling interviews, coordinating with hiring managers, and collecting required documentation.

·Perform any other tasks as requested by the supervisor to ensure the smooth functioning of the HR department.

Internal: All staff and departments in North Iraq offices.

External: IRC stakeholders.

Minimum Qualifications:

·Education: Relevant higher national diploma or university degree. Fresh graduate, BA degree or Diploma in Human Resources, Business administration or related field.

·Work Experience: 0-2 years of relevant working experience in humanitarian agencies, INGOs and/or in the private sector.

Demonstrated Skills and Competencies:

  • Language Skills:  fluency in Arabic and English, Kurdish language is a plus.
  • Ability to work independently with a strong sense of professionalism.
  • Excellent communication skills.
  • Excellent Public presentation and speaking skills.
  • Good IT skills with online software, MS Word, survey websites, MS Excel, MS Power Point.
  • Excellent listening and communication skills, able to handle problems with patience, politeness and diplomacy.
  • Solid organizational skills, attention to detail, able to handle multiple tasks and meet deadlines.
  • Strong interpersonal skills and ability to work effectively with staff and partners in cross-cultural environment

Total benefits:

  • Salary range: (1,463,616 - 1,829,520) Iraqi Dinars, based on various factors including the labor market, job type, internal equity and budget as well as calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
  • 13th month salary per year.
  • 21 days of leave and 15 days of paid holidays per year.
  • IRC provides health insurance for staff and their dependents.
