Overview of position

Our client's Libya Country Office is committed to ensuring that essential supplies and services reach children and communities efficiently and effectively. As supply operations continue to expand to meet both humanitarian and development needs, additional support is required to ensure smooth day-to-day processes. The objective of this role is to provide administrative and logistical assistance to the Supply and Logistics team, supporting activities such as bid management, shipment follow-ups, customs clearance coordination, and documentation. This ensures that supply processes remain well-organized, compliant, and responsive to programmatic requirements.

Role objectives

Under the supervision of Supply and LogisticsSeniorAssociate supervisor based in Tripoli, the consultant will provide administrative and technical support in:

Bid Management Support:Act as the bid clerk for ongoing tenders, including receiving and recording physical samples, maintaining a clear log of received items, and managing the return of samples post bid closure in line with procurement procedures.
Diplomatic Clearance Coordination:Prepare and draft Diplomatic Exemption Certificates and relevant correspondence in collaboration with concerned program sections. Follow up with the Ministry of Foreign Affairs to obtain final approvals and documentation.
Shipping and Customs Clearance:Coordinate with shipping and customs clearance agents to monitor and expedite offshore shipments, with a particular focus on pending consignments. Provide timely updates and resolve bottlenecks as needed.
Shipment Tracking and Reporting:Maintain and regularly update the shipment tracking monitoring sheet. Track the performance of clearing agents and issue weekly status reports on all offshore shipments.
Support toIncountry distribution activities: Assist with administrative tasks related to national supply disruption programmatic and contingency plans in coordination with the warehouse team.
Contract Monitoring and Follow-Up:Support the monitoring and tracking of ongoing contracts, ensuring proper contract management practices are followed. Follow up with contract managers to ensure progress is on track.
Vendor Management and Contract Closure:Coordinate with relevant sections to ensure timely completion of vendor performance evaluations and facilitate contract closure in accordance with Our clients guidelines.
Invoice Coordination:Coordinate with program sections to track and follow up on CTG (CommittedToGood) invoices, ensuring timely verification and immediate processing of payments.
Project reporting

The supply & logistics assistance will be required to daily/weekly and ad -hoc reports are quired by the supervisor and Our client's Supply & Logistic Officer

Key competencies
Education:First degree, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commerciallaw,  oranother relevant technical field.
Experience: A minimum of 3 years of relevant administrative experience in supply chain management or a commercial context is required. Understanding of development and humanitarian work is an advantage. Knowledge in supply procedures and processes are highly required.
Language Requirements: Fluency in Arabic and English, both oral and written, is require
