About this position

The Productivity, Trade and Innovation Sector (PTI) is responsible for strengthening the competitiveness and productivity of Latin America and the Caribbean through financial and non-financial instruments that maximize trade integration, investment, technological innovation, and sustainable development in strategic productive sectors. It supports countries in their transition toward more dynamic, inclusive, and resilient economies.

The general objective of the consultancy is to provide comprehensive administrative assistance to ensure the efficient operation of the PTI Management Office, as well as the optimal planning and execution of the Sector’s work program and its component areas.

What you’ll do

Management of correspondence for the PTI Management Office, including making and receiving phone calls, drafting and/or sending general correspondence and emails; and handling general phone inquiries, requests, and correspondence by responding/forwarding as needed. Organization of meetings and management of the PTI Manager’s calendar, coordination of meeting requests, room reservations, and setting up equipment for meetings when required; various arrangements for international meetings; management of relevant documentation, travel and tasks in advance, and liaison with internal and external stakeholders to ensure complete and accurate information.

Coordination of event logistics, including drafting invitation letters, registering and following up with participants, and conducting pre- and post-event surveys. 

Administrative support and workflow management to improve the processes and procedures of the PTI Management Office, including support in information gathering, drafting reports, emails, meeting agendas, and minutes.Document management, including filing all relevant documentation for the PTI Management Office in EzShare. Budget and procurement support, including assistance in the proper execution of the annual administrative budget in accordance with PTI Management guidelines; effective tracking and reporting of expenses in coordination with PTI Management; assistance in accurate budget sizing; tracking invoice payments; support in arranging accommodations for travel by PTI Management Office staff, including preparation of Travel Authorizations (TAs) and expense reports in WPMS and CONCUR. 

Support in managing contracts and vendors for the PTI Management Office and the various areas that make up the Sector. Assistance with Human Resources matters, including the preparation and modification of contract requests for individual consultants and consulting firms (CNS, PEC, and BEO modalities) and follow-up on vendor number requests for individual and firm contracts, generation of Commitments, Purchase Orders, and payments against deliverables within the appropriate funding source (to be reflected in the PTI Management Office’s internal tracking system and uploaded into the Convergence system). 

Assistance with the general maintenance of the PTI Management Office and liaison with service providers for repairs and maintenance issues.  

Support in the planning, execution, and monitoring of special projects assigned by PTI Management, ensuring deadlines and objectives are met.

Collection and analysis of relevant data to support strategic decision-making, including the preparation of reports and presentations.

 Assistance in coordinating training and development programs for PTI Management Office staff, including organizing workshops and seminars. 

Development and maintenance of effective internal communication channels to ensure staff are informed about policies, procedures, and important events. 

Support in coordinating and monitoring the operational activities of Team Leaders, ensuring efficient and effective execution of assigned tasks. Other technical and administrative support as required by the PTI Management Office.

What you'll need

Education: Technical degree in administration, international relations, political science, law, or other fields relevant to the responsibilities of the position.
Experience: At least 2 years of progressive experience in administrative and/or organizational support roles.
Languages: Proficiency in Spanish and English, both spoken and written, is required. Knowledge of French and Portuguese is preferred.

Consultant:

  • International Consultant: Full-time international consultant contract, 12 months (extendable up to 36 months).
