Organizational Setting

The Department of Nuclear Safety and Security (NS) formulates and implements the IAEA's nuclear safety and security programme, which encompasses the IAEA's activities to protect people and the environment from radiation exposure, and responds to the needs of its Member States related to nuclear safety and nuclear security.
The Incident and Emergency Centre (IEC) is part of the Department of Nuclear Safety and Security and reports to the Deputy Director General, Head of the Department. The IEC serves as the IAEA's focal point for preparedness and response to nuclear and radiological incidents and emergencies regardless of their cause, and for strengthening Member States' preparedness for response.

Main Purpose

The Consultant will provide expert input in the organization and delivery of the Emergency Preparedness and Response (EPR) Conference to be held in Riyadh, Saudi Arabia from 1 to 4 December 2025. He/she will be involved in conference planning, coordination, and implementation. Key duties include cooperating and organizing preparatory meetings, aiding in developing the scientific program, reviewing abstracts, and promoting the conference. The Consultant will ensure the conference meets the needs of participants and stakeholders and aligns with the strategic goals of the NS-IEC.

1. Technical and Logistical Support for Conference Preparations\:
- Provide technical input and organize preparatory meeting agendas, ensuring a clear and structured approach.
- Document outcomes and action items from preparatory meetings, ensuring accountability and tracking progress among team members.
- Develop and refine conference announcements, and the final program based on stakeholder contributions.
- Liaise with key counterparts in participating organizations, the conference programme committee, and conference chairs to support conference preparations.
2. Program Development and Content Management\:
- Contribute to the creation of engaging and informative content, messages, and materials tailored to the conference audience.
- Manage abstract submissions through the IAEA's INDICO system, tracking submission rates, acceptance rates, and other key data.
3. Conference Promotion and Stakeholder Engagement\:
- Develop promotional materials and communications to enhance awareness and drive participation.
- Liaise with internal and external stakeholders to address their needs, fostering a collaborative approach to the conference.

Qualifications and Experience

  • University degree in fields such as Engineering, Science, Business Administration, Political Science, International Relations, Law, or Public Administration.

  • At least five years of project management experience, ideally including international conference organization.
  • Experience drafting formal documents and promotional content.
  • Familiarity with scientific or policy-driven abstract and paper submission processes.
  • Proven ability in building multi-stakeholder relationships.
  • Excellent English language skills. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian, Spanish) is an asset.

Remuneration

The remuneration for this consultancy is a daily fee of up to a maximum of € 250, based on qualifications and experience. In case duty travel is required within the assignment, a daily subsistence allowance (DSA) and travel costs are provided. Health coverage and pension fund are the responsibility of the incumbent.
