Job Description
Under the direct supervision of the Head of Office and in close collaboration with Programme Managers, the Programme Support Unit (PSU), and the Resources Management Unit (RMU), the Grants and Institutional Fundraising Specialist is responsible for coordinating the development of high-quality funding proposals and donor engagement strategies targeting institutional donors (e.g., European Union, government donors). The incumbent supports programmatic teams to transform technical inputs into coherent, strategically aligned, and compelling grant proposals and ensures compliance with donor requirements throughout the proposal development cycle.
Responsibilities
Proposal Development and Grant Writing
- Lead the development of concept notes, project proposals, and funding applications, ensuring alignment with donor priorities and IOM’s strategic objectives.
- Work closely with Programme Managers, the Programme Support Coordinator, and the RMO.
- Ensure logical frameworks, results matrices, and narrative components are consistent and meet donor requirements.
- Support the budget preparation process, coordinating with RMU to ensure cost-effectiveness and feasibility.
- Coordinate internal review and approval workflows prior to submission.
Donor Engagement and Pipeline Development
- Monitor institutional donor trends and funding opportunities.
- Maintain a funding pipeline and coordinate timely submissions in alignment with donor calendars.
- Liaise with donor counterparts as needed to clarify technical requirements, proposal structures, and submission platforms.
Internal Capacity Building and Knowledge Management
- Provide guidance to project and support staff on proposal development best practices.
- Maintain and update proposal templates and guidance materials.
- Lead internal debriefs and after-action reviews for major grant submissions.
Donor Reporting & Compliance
- Coordinate with PSU to ensure donor compliance, providing fundraising-related inputs for reports and supporting donor engagement strategies.
- Ensure that donor reports, prepared by the PSU, align with funding agreements and donor expectations.
Other Duties
- Represent IOM Hungary in external donor coordination platforms, fundraising networks, and partnership forums.
- Undertake duty travel as necessary for donor engagement, project development, and partnership meetings.
- Perform other related duties as assigned.
Qualifications
- University degree in International Relations, Business Administration, Marketing, Communications, Political Science or related fields from an accredited academic institution with two years of relevant professional experience.
- Proven experience in fundraising, grant writing or donor relations.
- Demonstrated success in grant writing and proposal development.
- Familiarity with EU funding instruments and international donor policies.
- Experience working in international organizations, non-profits, or donor agencies is an advantage.
- Strong analytical and writing skills, experience in results-based management preferred
- Excellent proposal writing and budget development skills.
- Strong attention to detail and ability to manage competing deadlines.
- For this position, fluency in English and Hungarian is required (oral and written).
