#li-DNI The number of refugees remaining in Poland can be estimated at around 960 thousand. More than 40 percent of refugees from Ukraine in Poland are children and 65 percent are female. According to the latest protection profiling findings from Poland, 64 percent of the respondents plan to stay in Poland mainly due to safety reasons. To provide the best support to them, we work in different locations in Poland through diverse approaches: partner-led and joint IRC-partner interventions and activities led by the IRC in the frame of three programs: Economic Recovery and Development, Protection and Education.
JOB OVERVIEW:
KEY RESPONSIBILITIES:
1.Capacity Strengthening
•Provide tailored coaching and mentoring to the Partnerships and Grants Officer/Senior Grants and Partnership Officer on IRC systems and donor requirements.
•Support the creation of a capacity-building plan with milestones and regular check-ins.
•Assist in documentation and streamlining of partnership and grant workflows.
2. Grants and Donor Compliance Support
•Support development, review, and submission of donor proposals and reports (selected ones based on available time).
•Ensure timely and accurate updates of OTIS records and grant trackers.
•Help coordinate and facilitate Project Cycle Management (PCM) meetings.
3. Partnerships Management
•Support vetting, due diligence, and onboarding of partners in coordination with program and operations teams.
•Review and support timely processing of sub-awards and modifications.
•Lead or support partner monitoring visits, ensuring documentation and follow-up actions are completed.
4. Problem Solving and Systems Strengthening
•Identify causes of delays in workflows and propose practical solutions.
•Help unblock cross-departmental challenges in coordination with relevant teams (Finance, Supply Chain, Programs).
•Propose improvements to tools, trackers, and compliance workflows.
As People Manager:
•Foster ongoing learning, honest dialogue, and reflection at team level to strengthen safeguarding, wellbeing and duty of care, and to promote IRC values and adherence to IRC policies.
•Lead by example and support IRC’s commitment to taking all necessary preventive measures and creating an environment where people feel safe and can report misconduct.
As ESMT member:
•Model accountability and commitment to safeguarding all staff, partners, clients and others the IRC works with to build a culture of prevention of safeguarding violations in our workplace and our programs.

JOB REQUIREMENTS
•Minimum 5 years of experience in humanitarian grants and/or partnerships management.
•Strong familiarity with IRC systems and processes (e.g., PEERS, OTIS).
•Demonstrated experience in coaching, capacity-building, and problem-solving.
•Excellent English communication, writing, and editing skills.
•Strong organizational skills and ability to manage multiple priorities independently.
•Experience of working with the Ukrainian refugees in Poland, knowledge of the Polish humanitarian context
Key Working Relationships:
•The Advisor will report to the Country Director
•The Advisor will closely coordinate with the Senior Grants and Partnerships Officer, as well as other members of the Programs, Finance, and Operations teams.
