About this position

We are looking for an energetic, collaborative, and highly motivated Corporate Services Senior Analyst – Front Office Executive Analyst. In this role, you will offer comprehensive administrative support to the departmental manager and the front office, encompassing a wide range of technical and administrative functions. Additionally, you will assist in coordinating agendas and provide general administrative support as needed.

You will work in the Climate Change and Sustainable Development Sector (CSD), who is responsible for conceptualizing, preparing, supporting and coordinating sustainability-focused Bank operations in borrowing member countries.

What you’ll do

-    Provide comprehensive professional scheduling support for the manager, which involves meticulous agenda planning, efficient management of all mail and email, handling phone communications, facilitating positive client relationships, and  coordinating all related logistical requirements.
-    Keep all documentation duly filed. Select information and records in a specified format or based on general instructions following Bank's regulations.
-    Plans, coordinates and ensures the manager schedule is followed and respected.
-    Acts as a gatekeeper and facilitator, skillfully managing direct access to the manager while ensuring all interactions are beneficial and optimize their availability
-    Support CSD front office team in matters related to scheduling meetings, events, ordering supplies, coordinating travel arrangements for Senior Management, and other administrative matters.
-    Assist in Human Resources matters related to pre and post selection processes (emails, scheduling, interviews coordination, etc.). Support onboarding and offboarding processes of employees.
-    Ensure effective management of office records, keep contact directories updated, and file all documentation properly.
-    Handled multi-faceted responsibilities including small purchase, bill payments, travel arrangements and statement of expenses preparation. Handle license management process for the front office.
-    Provide support in managing internal service requests and events. Organize and maintain agendas, make appointments, arrange meetings, set up equipment and logistics, and ensure all relevant documentation for meetings, travel, and tasks are prepared in advance.
-    Support the analysis, documentation, and implementation of new internal processes, streamline and update internal processes, mechanisms, and tools. Support efforts, projects, and tasks associated with the continuous improvement of internal processes and systems.
-    Support the preparation of documents, memorandums, reports, and other materials, including editing, translation, and formatting. Maintain complex manual and electronic files.
-    Serve as a backup for time and leave administrator.
-    Assist in contract and vendor management

What you'll need

·Education: Bachelor’s degree (or equivalent advanced degree) in Business administration, Communications, Education, or other fields relevant to the responsibilities of the role.

·Experience: At least 2 years of progressive experience in roles associated to executive assistant roles, human resources management, office administration and other similar fields.

·Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Type of contract and duration

    -    International: International staff contract, 36 months initially, renewable upon mutual agreement.
