Organizational Setting and Reporting Relationship
The position of Operation Assistant is assigned to the Indonesia Resident Mission (IRM) within the Southeast Asia Department (SERD). You will be based at our Resident Mission Office in Jakarta. You will report to the designated international staff and senior officer.
Your Role
As an Operations Assistant, you will perform full administrative responsibilities to support international staff and help coordinate administrative activities for the assigned unit.
You will:
- Manage supervisor(s)' calendar in scheduling meetings with partners (internal and external).
- Process missions and archive related documentation (travel requests, expense reports).
- Process requisitions and purchase orders for institutional procurement and assist with budget preparation using eProc system.
- Provide logistics and administrative support, set up meetings (including drafting different business-type letters, memos), and assist with transportation for visiting missions to IRM.
- With guidance from international and senior local staff, prepare draft routine communications to the governments and other partners, ensuring compliance with the latest ADB template and Handbook of Style and Usage, and procedures.
- Facilitate the dispatch of signed communications.
- Coordinate with government agencies on approval requests and outstanding obligations.
- Support the team in operational activities such as selection of consultants, processing of claims and contract variations, drafting of internal memos and other documents.
- Record and maintain information for project administration matters in ADB systems.
- Provide back-up support to the other (Senior) Operations Assistants as needed.
- Perform additional responsibilities as assigned and stipulated in your workplan.
Qualifications
You will need:
- Bachelor's degree in finance, social sciences, business studies, or other related fields.
- At least 5 years of relevant professional work experience; experience in international multilateral and bilateral agencies is desirable.
- Ability to work proactively on assigned tasks, areas of analysis, and research that have a well-defined scope and steps.
- Excellent proficiency in written and verbal communications in English.
- Proficiency in standard software programs (Word, Excel, PowerPoint) and information technologies.
- Ability to work collaboratively with individuals from different cultural and technical backgrounds.

This opening is a local staff position. It is open only to nationals and residents of Indonesia.
This is a fixed term appointment with option to renew for an initial period of three (3) years following Section 3.1 (b) of Administrative Order No. 2.01 ("Recruitment and Appointment'). This appointment is not convertible to a regular appointment. At the end of the initial period, this appointment may be renewed for a period of up to three years, or not renewed. There is no limit on the number of renewals. This appointment is open to internal and external applicants.
