Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently seeking a highly qualified Support Services Specialist, who is administrative focal person for DRC’s office in Bangkok and provide support to the regional projects.
This role requires an expert on the local administration regulations, compliance requirements and pragmatic support expertise who can ensure the smooth running of the office and project support. The successful candidate will collaborate closely with the regional leadership team and provide support and advice to DRC’s projects and platforms based in Bangkok in timely manner, in line with donors, DRC and Royal Thai government’s guidelines and procedures.
About the job
The Support Services Specialist plays a key role in ensuring smooth and compliant operations for DRC’s office and project platforms in Thailand. This position provides comprehensive support across administration, finance, human resources, and supply chain functions, ensuring alignment with internal procedures and local regulations. Serving as the main liaison with Royal Thai government authorities and external service providers. The Specialist facilitates critical operational tasks such as office administration, legal compliance, recruitment processes, payroll, procurement, and financial reporting. The ideal candidate will bring hands-on experience in cross-functional support within an INGO context and possess strong communication and coordination skills.
The position is supervised by the Regional Head of Support Services and works closely with regional projects team and the two regional platforms, Mixed Migration Center – Asia (MMC) and the Asia Displacement Solutions Platform (ADSP).
Your main duties and responsibilities will be:
Administration
- Act as focal point for the setup, operations and administration of DRC Bangkok office.
- Coordinate for Bangkok office’s legal administrative tasks including but not limited to the registration related compliance tasks, work permit application, business visa application etc.
- Act as Admin focal person for the Royal Thai government’s authorities and facilitates the communicate and exchanges with Thai authorities.
- Coordinate the organization of the visits for external visitors and support in organizing workshops, meeting etc.
- Act as focal point for the administration of tenancy agreements & liaise with lessors for office and staff accommodation.
- Prepare payments and expense reports on Dynamics related to Bangkok office
- Act as focal point for the lawyer, tax consultant and other service providers.
- Manage travel requisitions for staff based in Thailand.
- Coordinate hotel/venue booking for staff and visitors.
Human Resources
- Support project team on recruitment and selection activities ensuring compliance with recruitment process.
- Support team on proper onboarding of the new staff in the Bangkok office
- Ensuring that global policies and frameworks are localized and are aligned with local labor laws
- Support implementation of global HR policies and other HR projects for Bangkok office
- Prepare payroll for national staff
- Handle contract management for national staff
Supply Chain
- Act as procurement focal point for the project team and support on completion of procurement process.
- Conduct procurement activities for Bangkok office in coordination with the supply chain team.
- Act as asset management focal person for Bangkok office.
Finance
- Ensure that monthly finance tasks are completed (payroll, PIT, cashbooks, bank reconciliation etc.) and in line with Operations Handbook procedures
- Act as focal person for annual statutory financial procedures for Thailand as per regulations of Royal Thai government.
ERP DRC Dynamics System
- Maintain quality of data, perform quality check-up and regular clean-up of data for the Bangkok Office
About you
To be successful in this role we expect you to have a minimum 3 years' working experience in Admin, Finance and/or Human Resources, preferably with INGO in Thailand. Moreover, we also expect the following:
- Bachelor's degree in Business Management or Social Science
- Demonstrated understanding and working knowledge/experience of INGO Administration principles, concepts & processes in Thailand
- Excellent skills in project management support – financial reporting, statutory government reporting etc.
- Experience in working with different Thai government department for work permit, visa, tax registration and deposits etc.
- Experience using an online system for recruitment and extensive experience working with ERP systems
- Full professional proficiency in English
- Full proficiency in Thai (writing also)
